Position Summary: We are seeking a detail-oriented and organized Administrative Assistant to join our team. The ideal candidate will be responsible for providing administrative support to ensure efficient operation of the office, with a focus on customer quotes, delivery order management, reporting, service coordination, and handling various administrative tasks related to workers, dormitories, vehicles, and properties.

Key Responsibilities:

  • Customer and Service Coordination:
    • Prepare and follow up on quotes for customers.
    • Coordinate services with subcontractors and ensure timely execution.
    • Data entry of delivery orders and filing of work orders received from clients.
  • Reporting and Documentation:
    • Prepare monthly reports on recycled items and other relevant metrics.
    • Maintain accurate records of timecard entries for payroll processing.
  • Human Resources and Compliance:
    • Track contracts for foreign and local workers, ensuring compliance with regulations.
    • Manage medical insurance for employees and maintain related records.
  • Facilities and Logistics Management:
    • Perform dormitory bookings and manage accommodations for workers.
    • Track vehicle road tax renewals and ensure timely renewals.
    • Handle tenancy agreements and property-related activities, ensuring compliance with lease terms.

Qualifications:

  • Proven experience as an administrative assistant or similar role.
  • Proficient in Microsoft Office applications and familiar with data entry and reporting software.
  • Excellent communication and interpersonal skills.
  • Strong organizational skills with the ability to multitask and prioritize tasks effectively.
  • Attention to detail and problem-solving abilities.
  • Knowledge of the recycling industry or relevant field is a plus.
