The Methodist Church in Singapore (MCS) is a connectional church comprising the General Conference, three Annual Conferences, local churches, and various agencies and organisations. The General Conference (GC) is the highest body of the MCS, responsible for legislation, policy, and the overseeing of its various agencies, including the programme agencies responsible for education, missions, and welfare services.


We have a vacancy for Part-Time Administrative Support (Contract For Service)


Responsibilities and Duties


Manage reception and counter, covering all aspects below:-

  • Manage the communication and student management.
  • Correspond to webmail and manage all email enquiries.
  • Attend to internal/external customer service-related queries, such includes walk-in, email and/or telephone enquiries.
  • Promote, introduce and up-sell the programmes and books to prospects, parents, etc. Explain the programmes details, duration and pricing to prospects with the aim to convert them into applicants or enrolments.
  • Arrangement of trial lessons between parents/students &MSM teachers in a timely and prompt manner


Provide teachers and students/parents Support:

  • Arrange, manage and update full-time and part-time teachers’ lesson schedules. Liaise with students/parents and teachers to handle their requests, complaints, grievances, transfer etc.
  • Update the organ and studio rental log.

Rules & Regulations:

  • Ensure teachers and students adhere to the relevant SOPs. (80)% of total time

Assist in ad-hoc invoicing:

  • Register student enrolments and invoice for new student registrations.

General Point-of-Sale (POS) Tasks:

  • Perform fee collection, retail, book sales, facility rentals, ticket sales for events (General Music Dept and Worship & Music Dept), donations, issuing receipts etc.

Administration Management

  • Reservation for studio for examinations.
  • Source for 3 quotations for products and/or services, recommend the vendor/supplier for final approval. Submission of Purchase Requisition (PRs) for approval via KRIS. Make payment with invoices via WSIP.
  • Follow-up with vendors/suppliers for outstanding invoices.
  • Perform bank errand by depositing cash and/or cheques to various banks.

Book inventory management

  • Sales of books in accordance of SOP.
  • Perform stock take of books periodically and update the log.
  • Purchase the books when the stock is running low.

Event management

  • Support the preparation MSM events.
  • Manage enquiries during events.

Job Requirements

  • Diploma in Business Administration from an established institution with at least 3 years of relevant working experience.
  • Must be meticulous, analytical and have an eye for details.
  • Able to multi-task, work independently and prioritise to meet deadlines.
  • Good spoken and written communication skills. Able to communicate effectively across many levels of committees headed by clergy and laity.
  • Proficient in MS Office Application (Word, Excel, PowerPoints), Outlook, online communication platforms, Academic Information Management System (AIMS) student database, Google forms, Point of Sales (POS) systems.
