Core Responsibilities:

  • Customer Service: Handling customer inquiries, processing orders, and providing support for service-related issues.
  • Service Scheduling: Coordinating service appointments, managing schedules, and ensuring timely execution of services.
  • Documentation: Preparing and organizing documents related to service operations, including invoices, reports, and contracts.
  • Data Management: Maintaining accurate records and data related to service operations, including customer information, service history, and equipment data.
  • Inventory Management: Monitoring and managing inventory levels of parts and supplies needed for service operations.
  • Financial Support: Assisting with invoicing, accounts payable, and petty cash management.
  • Office Support: Providing general administrative support, including answering phones, managing email correspondence, and coordinating meetings.
  • Compliance: Ensuring compliance with relevant regulations and procedures.

Specific Tasks:

  • Processing sales orders, invoices, and delivery schedules.
  • Updating pricing and costing information.
  • Handling customer inquiries and orders.
  • Creating and maintaining sales-related documents.
  • Supporting the sales team with administrative tasks and report preparation.
  • Monitoring office supply levels and reordering when needed.
  • Handling payments to suppliers and inquiries related to payments.
  • Managing petty cash and staff expense claims.
  • Answering phone calls and other administrative duties as assigned.
  • Supporting project management with various admin duties.
  • Assisting with procurement and trading activities.
  • Managing work permit applications, renewals, and cancellations.
  • Handling local and foreign worker-related matters.
  • Overseeing and managing all aspects of shipping documentation.
  • Managing end-to-end spare parts sales.
  • Supporting offshore project/marine crew management.
  • Providing administrative support for daily operations.
  • Assisting with health and safety documentation and training record-keeping.
  • Scheduling and coordinating training courses for shipboard personnel
