We are seeking a detail-oriented and proactive Project Admin to support our team in the smooth execution of construction and interior design projects. This role plays a vital part in administrative coordination, schedule tracking, and stakeholder communication to ensure projects run efficiently from start to finish.

Key Responsibilities:

1. Project Administration & Coordination

  • Assist in developing and maintaining project timelines and schedules.
  • Coordinate meetings between clients, designers, contractors, and other stakeholders.
  • Monitor project status and assist in resolving delays or issues as they arise.

2. Design & Material Coordination

  • Support interior designers in turning design concepts into practical plans.
  • Review drawings, materials, and finishes to ensure alignment with project requirements.
  • Research and source materials, furniture, and fixtures as required.
  • Coordinate logistics for material deliveries, equipment, and site needs.

3. Financial & Resource Tracking

  • Assist in preparing budgets and monitoring expenses.
  • Track costs and report any discrepancies or overruns to the project team.

4. Documentation & Compliance

  • Maintain accurate records, including contracts, permits, and approval documents.
  • Prepare regular progress reports and updates for internal and external stakeholders.
  • Ensure projects comply with all relevant building codes, safety regulations, and local laws.

5. Communication & Team Support

  • Serve as a point of contact between clients, contractors, designers, and internal departments.
  • Facilitate effective communication and help resolve minor project-related issues.
  • Provide daily administrative support to ensure project milestones and goals are met.

Qualifications:

  • Diploma or Degree in a relevant field.
  • Experience in a project administration or coordination role, preferably in the construction or interior design industry.
  • Working knowledge of interior design concepts is required.
  • Good understanding of construction workflows, materials, and industry standards.
  • Strong problem-solving skills and attention to detail.
  • Ability to work independently and manage multiple tasks effectively.
  • Excellent communication and organizational abilities.
