Scope of Work

The Freelancer/Employee agrees to perform the following duties related to sales, client coordination, and project execution for commercial renovation and F&B projects.

1. Sales & Client Acquisition – 25%

  • Attend to incoming leads and actively engage in outbound sales through cold calls, referrals, LinkedIn, and site visits.
  • Present and pitch commercial renovation and F&B solutions to potential clients.
  • Prepare and send proposals, quotations, and contracts tailored to client needs.
  • Negotiate effectively and close sales, ensuring clear understanding of project scope and payment terms.
  • Follow up on client inquiries and coordinate next steps post-quotation.

2. Project Coordination & Timeline Management – 30%

  • Oversee the entire project lifecycle, including pre-construction, renovation, and handover phases.
  • Coordinate with contractors, subcontractors, and clients to track submissions (e.g., drawings, permits) and ensure timely progress.
  • Perform site checks (physical or virtual) to monitor work status and quality.
  • Escalate issues or bottlenecks to management immediately to avoid delays.
  • Enforce strict adherence to project timelines and client expectations.

3. Client Communication & Reporting – 15%

  • Provide daily updates via WhatsApp, email, or CRM in the following format:
    Example: “Project X – 80% on track. Delay in flooring resolved. Payment collected from Client A.”
  • Submit weekly summary reports including:
    Updated project Gantt charts or timelines
    Risk alerts (e.g., supplier or material delivery issues)
    Summary of client/contractor meetings

4. Payment Follow-Up & Defect Management – 15%

  • Track invoices and ensure progressive payments are collected on or before due dates.
  • Follow up promptly with clients on overdue payments.
  • Manage defect lists (snagging), ensure timely resolution, and confirm completion with photographic or written evidence.

5. Procurement & Supplier Coordination – 10%

  • Source reliable local and overseas suppliers for materials and fixtures.
  • Ensure timely delivery to meet project deadlines and quality standards.
  • Communicate closely with procurement team and vendors to avoid disruption.

6. Documentation & Compliance – 5%

  • Submit all required documents and approvals (e.g., BCA permits, drawings, client sign-offs) accurately and on time.
  • Maintain and update internal checklists for all compliance-related items.
  • Verify that all inspection and approval sign-offs are obtained before project handover.

7. Proactive Issue Management – Ongoing Responsibility

  • Anticipate and resolve potential project issues (e.g., weather delays, manpower shortages).
  • Hold weekly alignment calls with contractors and clients to maintain full transparency and alignment.

Key Skills & Requirements

  • Strong communication and follow-up skills
  • Proficiency in Excel/Google Sheets (timeline tracking)
  • Basic knowledge of AutoCAD/SketchUp (to read and verify drawings)
  • Fluent English (written and spoken)

Performance KPIs

  • Project Delays: 0 unapproved timeline extensions
  • Submissions: 100% on-time permits/approvals
  • Payment Collection: 95% or more collected on time
  • Daily Reports: Sent by 6PM each workday
