Job Summary:


The Dormitory Administration Executive supports the Administration Manager in executing daily administrative operations, procurement coordination, and resident onboarding. The role is essential in maintaining accurate records, supporting interdepartmental needs, and ensuring a smooth administrative process to facilitate resident well-being and operational efficiency.


Key Responsibilities:


1. Administrative Operations Support

  • Assist in the implementation of administrative SOPs and processes.
  • Maintain accurate records for contracts, purchase orders, and inventory.
  • Update the electronic notice board and resident app notifications.
  • Provide general administrative support across departments.

2. Procurement Coordination

  • Support the preparation of purchase orders and delivery tracking.
  • Liaise with vendors and suppliers to ensure timely supply and accurate documentation.
  • Monitor stock levels and flag any shortages or overstocking.
  • Assist with invoice verification and expenditure tracking.

3. Facility and Finance Administration

  • Track the service performance of dorm facility vendors (e.g., cleaning, pest control).
  • Assist in the processing of payments and coordination with the Cluster Finance team.
  • Maintain updated records of contract timelines and renewals.

4. Resident Onboarding and Room Management

  • Assist with updating the Tenant Management System (TMS).
  • Coordinate room allocations and turnovers.
  • Schedule and conduct onboarding briefings with new residents.
  • Ensure proper documentation and condition checks during room handovers.

5. Event and Community Program Support

  • Help plan and coordinate dormitory events in line with FEDA requirements.
  • Liaise with internal and external stakeholders for event logistics.
  • Create simple digital content (e.g. TikTok videos) for dorm promotion, safety education, or engagement.

6. Reporting and Documentation

  • Maintain procurement and admin records.
  • Assist with the preparation of routine reports and dashboards.
  • Support surveys or feedback collection from residents.

7. Other Duties

  • Collaborate with Admin, Ops, and Security teams as needed.
  • Perform any other administrative duties assigned by the Administration Manager or General Manager.

Requirements:

  • Diploma in Business Administration, Facilities Management, or related field.
  • 1–2 years of experience in administrative or procurement support preferred.
  • Familiarity with Microsoft Office Suite and basic procurement platforms.
