As the first point of contact, our Receptionist & Operations Assistant plays a vital role in ensuring smooth front-desk operations and supporting the operations team in administrative tasks.
Key Responsibilities
Reception Duties
- Greet and welcome visitors and clients warmly and professionally.
- Answer and route incoming calls and emails.
- Manage meeting room bookings and ensure the reception area is tidy and presentable.
- Handle incoming/outgoing mail, courier arrangements, and document distribution.
- Perform general administrative support (scanning, filing, data entry).
Operations Support
- Assist the operations team with client document preparation and submission.
- Ensure proper documentation is collected, checked, and filed in an orderly manner.
- Help with tracking deadlines and follow up with clients for outstanding items.
- Liaise with government or partner portals to upload, submit, or retrieve documents when required.
- Maintain confidentiality and accuracy in all handling of client-related materials.
Requirements
- Previous experience in a receptionist or admin support role preferred.
- Able to manage multiple tasks with attention to detail and efficiency.
- Good communication and interpersonal skills.
- Proficient in Microsoft Office (Word, Excel, Outlook).
- Fluent in English; Mandarin proficiency is a bonus.
- Responsible, punctual, and a team player.
