We are seeking a resourceful and proactive Senior/Admin Executive to support senior management and Operations Manager, and ensure smooth execution of administrative and operational functions across the Company. Based in our Singapore headquarters, the role involves close coordination with internal teams and external stakeholders to manage logistics, office operations, scheduling, document control, and basic finance and HR administration.


Duties and Responsibilities

Support the team in a full spectrum of office secretarial, administrative and operation work, including and not limited to:

Secretarial & Administrative Support to Senior Management

  • Organize and support on-site and local meetings/events: logistics, visitor management, security clearance, and catering arrangements.
  • Assist in preparing business presentations and marketing materials.
  • Manage corporate calendar and send timely reminders for key dates and events.
  • Schedule and coordinate meetings and events with internal and external parties, including venue bookings.

Corporate Travel Support

  • Research, book, and manage business travel arrangements including flights, accommodation, and transport.
  • Communicate with staff and travel vendors to confirm, revise, or troubleshoot travel plans.

Office & Operations Management

  • Responsible for maintaining an efficient working office environment including management of office space and IT support to employees.
  • Oversee day-to-day office operations, including stationery, pantry supplies, and office space management.
  • Manage courier services and coordinate overseas shipping.

Finance & Bookkeeping Support

  • Process vendor invoices and employee expense claims.
  • Maintain accurate finance documentation and support basic finance admin tasks.

HR Administrative Support

  • Coordinate onboarding/offboarding administrative processes with HR.
  • Maintain and update internal policies, handbooks, and SOPs.

Data & Document Management

  • Maintain organized electronic filing systems in line with company protocols.
  • Manage company’s electronic document library and contact database.

General Office Communications

  • Handle general enquiries received through email and company communication channels.
  • Support external liaison and administrative documentation as required.

Other Duties

  • Perform any other administrative or operational tasks as and when required by management.


Knowledge, Skills and Abilities

  • Proficient in Microsoft Office Suite: Outlook, Word, Excel, and PowerPoint.
  • Excellent written and verbal communication skills in English.
  • Strong organizational skills, attention to detail, and ability to multitask.
  • A team player with proactive problem-solving abilities.
  • Able to maintain confidentiality and handle sensitive information professionally.


Qualifications

Diploma / Degree in relevant disciplines with working experiences in administrative, operations, or corporate support functions.
