Purpose of the Role:
To provide administrative and operational support across key HR functions including onboarding, payroll and government leave administration, staff welfare and wellness initiatives, HR systems maintenance, and documentation management. This role ensures smooth execution of employee lifecycle processes and supports the HR Centre of Excellence in system enhancements and policy reviews.
Key Responsibilities:
- Coordinate onboarding logistics (welcome pack, uniform, digital name card, laptop, staff pass) ready for new hires’ first day
- Support training platform administration and report generation
- Administer payroll-related changes and government-paid leave submissions
- Coordinate staff welfare and wellness activities (e.g. health screening, vaccinations, birthdays, events)
- Conduct data clean-ups and accuracy checks on SuccessFactors (SF); assist with UAT and issue tracking
- Maintain SOPs or user guides for systems and processes
- Assist in HR policy documentation, version control, and publishing to intranet/SharePoint
- Maintain structured fie storage with consistent naming/versioning in shared drive
- Liaise with IT for staff directory updates and with Finance for payroll account changes
- Support data collation and HR reporting for the Centre of Excellence
- Manage the posting of announcements and reminders in various communication channels (e.g. Workplace, VivaEngage)
- Identify applicable government grants and funding schemes (e.g. SMAS, CCSE) and administer the application and claims process
Criteria:
- A diploma in Human Resource Management, Business Management or equivalent
- At least 3 years’ experience in a supportive HR function
- Familiarity with payroll processes and HRIS – SuccessFactors is an added advantage
- Experience in the social service sector is preferred
- Proficient in Excel; strong attention to detail and data accuracy
- Effective written and verbal communication; personable and approachable
- Strong coordination, follow-through, time management, and ability to prioritise
- Good stakeholder management; service-oriented with a collaborative mindset
- Impartial, objective, trustworthy with confidential data
- Self-motivated, proactive, and adaptable in fast-paced environments. Enthusiastic team player with a positive attitude
