Duties And Responsibilities

Primary Duties (80%)

  • Manage day-to-day administrative tasks such as preparing documents, handling mail and courier arrangements, updating staff contact lists, organizing files, drafting correspondence, and scheduling appointments.
  • Monitor and manage the inventory and proper usage of office supplies (e.g. stationery, name stamps) and maintain departmental office equipment, including photocopiers and desktops.
  • Oversee bookings for the pharmacy’s meeting and training rooms.
  • Compile and prepare monthly departmental reports (e.g. waiting time, workload, medication errors, and balanced scorecard), and ensure timely submission of fire warden checklists and KPI dashboard updates. Support dashboard maintenance and updates as required.
  • Handle various personnel-related matters such as tracking staff recruitment and resignations, coordinating interviews, invigilating competency tests, issuing sponsorship letters, arranging staff engagement sessions, and processing payment requests.
  • Ensure timely updates and accurate maintenance of departmental documents such as HAP, SOP, PM, HI registers, pharmacists' authorized signature lists, and letters of undertaking.
  • Gather and compile information or statistics as requested by the Senior Assistant Manager, section leads, department leadership, or Head of Department.
  • Coordinate onboarding activities for new staff, including administrative briefings and orientations.
  • Assist with the collection and submission of documentation for HR and other departments (e.g. learning development awards, exemplary staff awards).
  • Support the Senior Assistant Manager in preparing meeting materials such as presentation slides, work plans, and budgets.
  • Assist in preparing content and materials for internal and external publications (e.g. PharmHouse, NUHS Allied Health Newsletter).

Secondary Duties (20%)

  • Organize and support departmental events, including coordinating and distributing gifts across sections.
  • Manage logistics for pharmacists' annual competency tests, including room reservations, invigilation, marking, and result compilation.
  • Coordinate visits from external parties.
  • Provide coverage for the Senior Assistant Manager during their absence.
  • Maintain strict confidentiality of departmental information.
  • Support any additional administrative functions as required.

Key Requirements

  • Diploma qualification.
  • At least 2 years of experience in clerical and administrative work.
  • Demonstrated ability to support all administrative aspects of departmental operations.
  • Independent, goal-driven, and self-motivated.
  • Strong communication, interpersonal, and active listening skills.
  • Eagerness to learn and share knowledge.
  • Team-oriented with a collaborative mindset.
  • Comfortable working with staff at all levels—from junior employees to senior management.
