We are looking for a reliable and hands-on Admin Assistant to support day-to-day operations across documentation, procurement, vendor liaison, and administrative coordination.
You will play a key role in helping the team stay organised and responsive to both internal and external needs.
Responsibilities
- Prepare and submit Invitation to Quote (ITQ) documents
- Maintain and update templates and document records
- Send documents to clients and track submissions for compliance
- Communicate with vendors and source quotations
- Place orders and coordinate delivery of goods
- Take meeting minutes and handle general admin tasks
- Create and maintain checklists, reports, and client-facing templates
- Monitor and restock pantry supplies; maintain pantry cleanliness
Requirements
- Strong organisation and multitasking skills
- Proficient in Google Workspace, Microsoft Office, and Canva
- Clear communication and good interpersonal skills
- Ability to work independently and in a team
- Familiarity with procurement processes is an advantage
- Prior experience in administrative or operational roles, especially within an academic institution, enrichment centre, or private education setting
