Assistant Manager, Volunteer Management & Special Projects

Reporting to: Head, Marketing & Sustainable Sponsorships
Working Hours: Monday to Friday, 8.30am to 5.30pm
The candidate is responsible for the overall management of the Volunteer
programme and provides key administrative support to ensure the smooth
operation of the activities. This role is crucial in engaging both internal and
external stakeholders besides the community, supporting beneficiaries, and
upholding the high standards of Child at Street 11 and its activities. With
engagement to enhance and develop the Centre’s visibility and reach, this
individual would be a key player to ensure the Centre’s services are well
received and recognised.
Responsibilities
Volunteer Management
1. Coordinate the recruitment, onboarding, and orientation of new
volunteers.
2. Maintain and regularly update the volunteer database using the
appropriate software systems available
3. Assign volunteers to appropriate roles based on their interests,
availability, and organisational needs (e.g., student programmes, art,
administration, events, sessions)
4. Ensure all volunteer information forms and waiver forms are
completed and stored securely.
5. Communicate Centre’s policies, procedures, and code of conduct to
all volunteers.
6. Organise and support volunteer training sessions for better facilitation
of sessions.
7. Monitor volunteer attendance, engagement, and performance,
providing feedback and support as needed.
8. Foster a positive and inclusive volunteer culture, recognising
contributions and addressing concerns promptly.
9. Work with private and government agencies and bodies to build and
develop volunteer engagements, and attend relevant Volunteer
management enhancement programmes.
10. Plan & execute bi-annual volunteer appreciation events
Teaching Duties:
1. Review and Assess current Activities and impact on After School
Care group.
2. Review and develop Student Portfolios for clarity and future
reference and use
3. Update academic and general progress of all After School Care
children.
4. Update on areas and subjects to give specific support for After
School Care group of students.
5. Assist with general review and assistance with Nursery and
Kindergarten class groups
6. Assist Nursery and Kindergarten teachers with current activities and
as per curriculum.
7. Update on areas to support and assist to help child development
Administrative Duties
1. Assist with and manage Campaigns related to the Centre for
sponsorships and volunteer assisted engagements.
2. Work on the corporate website overview and content review and
development.
3. To use online and digital resources including the website and social
media platforms when needed to enhance the visibility and reach of
Child at Street 11.
4. Assist with and execute marketing and collateral development.
5. Assist with general office administration, including filing, data entry,
and correspondence.
6. Support the coordination of events (e.g fundraising activities,
outreach events, etc) by managing volunteer deployment and
logistics.
7. Maintain and regularly update the volunteer and sponsors database
using the appropriate software systems available
8. Ensure compliance with data protection policies, maintaining
confidentiality of all beneficiary and volunteer information
9. Prepare reports on volunteer activities and administrative matters as
required
10. Manage supplier relationships for purchases and services
