Job Summary:
We are seeking a dynamic and organized individual to serve as the Front Desk cum Admin Assistant. This role requires excellent communication skills, attention to detail, and the ability to multitask in a fast-paced environment. The successful candidate will be the first point of contact for visitors and provide essential administrative support to ensure smooth office operations.
Key Responsibilities:
- Greet and welcome guests, clients, and employees in a professional manner.
- Answer and direct incoming phone calls and respond to inquiries promptly.
- Maintain the reception area, ensuring it is tidy and presentable at all times.
- Handle incoming and outgoing mail, courier services, and deliveries.
- Manage office supplies and place orders when necessary.
- Provide administrative support to various departments (e.g., data entry, document filing, photocopying, scanning).
- Assist in scheduling appointments and meetings, including room bookings.
- Prepare and maintain records, reports, and correspondence as required.
- Coordinate with vendors and service providers as needed.
- Support HR activities, such as maintaining employee records.
- Perform other duties as assigned by management.
Qualifications and Requirements:
- Proven work experience as a Front Desk Representative, Receptionist, or similar role.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Strong organizational and multitasking abilities.
- Excellent verbal and written communication skills.
- Friendly, professional demeanor with a customer-service mindset.
- Diploma or equivalent; or relevant experiences.
Work Environment:
- Office-based role with a standard 9am–6pm.
- Interaction with staff, clients, and visitors daily.
