Job Description:
Working with a small team of dynamic individuals, the Associate Specialist will assist the team leader to develop and execute events for the agency’s list of luxury lifestyle brand clients in various industries covering fashion, jewellery, beauty, hospitality and corporate events.
The job scope will cover all relevant research, planning and implementation work required to support the delivery and execution of an event.
Responsibilities:
- Assist with the preparation of event proposals, presentations and project materials
- Support the team leader with coordination and execution of assigned projects
- Manage communications, ensuring that any issues, changes, or required performances that impact projects are documented and addressed with the key team members
- Source, establish, develop and actively manage relationships with key vendors providing for the best available resources within budget and overall project success
- Assist with procurement of permits, licenses, and all other paperwork for events
- Support team leader with executing detailed checklists and program schedules
- Provide administrative and project support to the team leader
- Assisting in hands-on set up and tear down
- Maintain complete and updated files with all project/event details and information
- Meet deadlines, prioritize tasks, report on tasks assigned and deliver prompt responses to team leader
- Perform other related duties as assigned
Requirements:
- Diploma or Degree in Business Studies, Marketing, Public Relations or Mass Communications
- Relevant experience in Event management or Marketing Communications; prior experience in an agency setting and/or Luxury Lifestyle industry preferred
- An existing network of contacts in design and production vendors will be advantageous
- Passion for events
- Meticulous with strong attention to details
- Good written and verbal communications skills
- Positive attitude, resourceful nature, and excellent problem-solving capabilities
- A team player with strong interpersonal skills, is proactive and able to work independently
- Some night and weekend work is required
- Excellent time-management, ability to multi-task and work in a fast-paced environment
- Proficiency in Microsoft Office; Adobe Photoshop and Illustrator a plus
