Role Summary
This role manages various administrative tasks for OU Digital Services, ensuring efficient support for the CIO and team. The aim is to enhance operational effectiveness and employee satisfaction. The role is split between Portfolio Management Support and General administrative duties.
Main Responsibilities
Portfolio Management Office Support:
- Support operating routines to ensure the organization runs effectively and efficiently to meet agreed objectives.
- Assist in executing Portfolio Planning & Tracking, including standardized Portfolio Summary Creation, Quarterly Reviews, Integrated Roadmap creation, and identification of risks.
- Collaborate with OU business teams and digital services delivery teams to ensure Project & Product work has quality data, clear deliverables, and measurable success criteria is updated & available in timely manner in global tools & reports.
- Coordinate, plan, and deliver change management activities and associated communication relevant to portfolio management.
- Support the reporting of all financials associated with projects and operations.
- Work with Procurement and digital services teams on Vendor contracts and management as needed.
General Administration:
- Support the digital services team by organizing quarterly townhalls, annual team-building events, managing logistics, and overseeing the daily operations of the CIO's office.
- Manage travel arrangements by coordinating travel logistics such as ticketing, accommodations, itineraries, and liaising with local hosts, as well as assisting travelers in Singapore.
- Ensure the timely and accurate submission and reconciliation of expense reports, maintain comprehensive records, review business travel charges, and follow up on any outstanding balances.
- Handle calendar management by conducting regular reviews, maintaining current appointments, prioritizing conflicts, managing schedules during travel, and communicating any scheduled appointments effectively. Oversee supplier management by ensuring compliance with financial policies, creating accurate purchase orders, following up on supplier inquiries, updating the principal on approvals, and communicating orders to suppliers once approved
Qualifications & Experience
- Bachelor’s Degree in Information Technology or relevant fields.
- At least more than 1 year of prior relevant experience.
- Excellent communication skills, with the ability to explain facts.
- Attention to detail, good organizational skills, and ability to work independently.
- Proficiency in Microsoft Office, including Teams with the ability to prepare basic PowerPoint presentations, Word documents and Excel spreadsheets.
- Initiative & Problem Solving: Proactively anticipates critical needs and moves forward with solutions with minimal guidance.
- Ability to Maintain Confidentiality: Handles all information with the highest level of confidentiality.
