Job Summary

We are seeking a detail-orientated and proactive Admin to handle daily administrative tasks and HR operations. This role is critical in ensuring HR processes are run efficiently and in compliance with MOM regulations in Singapore.


Job Responsibilities

  • Provide day-to-day HR operational support to ensure alignment with the company’s strategic goals.
  • Manage end-to-end recruitment activities, including job posting, interview coordination, and preparation of employment contracts.
  • Handle Work Pass matters, including applications, renewals, cancellations, and levy waiver submissions via MOM portals.
  • Conduct employee onboarding and orientation; track probation progress and manage confirmation processes.
  • Maintain and update accurate employee records in the HRIS system, including personal data, leave, attendance, and training logs.
  • Manage the company’s leave and attendance system, ensuring accuracy and providing user support.
  • Oversee staff benefits administration, such as medical claims, insurance enrolments, and training entitlements.
  • Coordinate training and development activities, including compiling training needs, applying for training grants, and submitting claims.
  • Review, update, and implement HR policies and procedures in compliance with Singapore employment regulations.
  • Act as the first point of contact for HR-related employee queries and provide necessary support.
  • Assist in planning and executing employee engagement initiatives and activities.
  • Support general office administrative tasks, including vendor coordination and office upkeep.
  • Coordinating meetings and events.
  • Maintaining records, reports, and filing systems.
  • Assisting with financial tasks, budgeting, and expense control.
  • Support verifying supplier invoices & staff claims.

Job Requirements

  • Minimum Diploma in business administration or equivalent or a related field may also be sufficient, especially with relevant work experience.
  • At least 1 year of relevant experience in administration preferred
  • Experience in HR and compliance with MOM regulations in Singapore will be an advantage.
  • Familiar with Singapore employment regulations and MOM procedures
  • Proficient in Microsoft Office (Word, Excel, PowerPoint)
  • Strong attention to detail and organizational skills
  • Able to handle confidential information with integrity
  • Good interpersonal and communication skills
  • Ability to multitask and prioritize tasks.
