We are seeking a talented and experienced Executive Assistant to provide support to our CEO. You are expected to wear multiple hats and act as an enabler for the CEO to be most effective with his workdays. This role is ideal for someone with strong business judgment, high attention to detail and communication skills, and the ability to interact with a variety of people in a professional and welcoming manner. Enthusiasm, creativity, and resourcefulness are crucial, as is a high level of professional integrity and confidentiality.
KEY RESPONSIBILITIES
- Manage the CEO’s calendar on a daily basis-Maintain diary, arrange meetings and appointments and provide reminders
- Providing updates and reminders to keep theCEO on schedule
- Coordinate the agenda for any internal orexternal meetings with the relevant stakeholders
- Manage and Plan Travel itineraries
- Act as the point of contact between theexecutives and internal/external clients
- Undertake the tasks of receiving calls,taking messages and routing correspondence.
- Plan & coordinatestrategic reviews and updates on the status of various initiatives and ensureany action points are concluded in a timely manner
- Coordinate and follow up with businessverticals from time to time
- Ensure communication with respective teamswith a high degree of professionalism, accuracy andconfidentiality.
- Manage & monitor all planning,coordination, filing & logistics related to paperwork
- Monitoring priority items for the CEO,providing assistance & follow-ups as required
- Plan & manage the CEO’s travel schedule
- Provide required support on reports, PowerPoint presentations, minutes and briefs
SKILLS REQUIRED
1) TECHNICAL
- Experience of supporting a senior executive of a tech company or fast-growing startup
- Full comprehension of office management systems and procedures
- Strong project management, ability to see things through from start to finish
- Excellent computer skills, Microsoft Office Suite
- Written and oral knowledge of Bahasa Indonesia, Chinese and Melayu, or any other regional languages would be a plus
2) BEHIVOURAL & SOFT SKILLS
- High level of organization and attention to detail
- Ability to multitask and prioritize multiple projects
- Excellent time management skills and abilityto meet tight deadlines
- Ability to maintain highly confidentialinformation
- Professional written and verbal communicationskills

- Ability to problem solve effectively
- High degree of adaptability and willingness to pivot when needed
- Ability to accommodate CEO's schedule when needed.
3) QUALIFICATIONS
- Proficiency in Advanced Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), and other relevant software, is essential for efficiently managing a CEO's schedule, correspondence, and presentations.
- Bachelor’s Degree (Preferred): Often required in business, communications, or a related field.
- Certified Administrative Professional (CAP)
- MBA or a related master’s degree would be added advantage
LOCATION – Singapore
SALARY - S$ 3,000 – 4,500 pm
