Job Summary

As the Administrative & Accounts Executive, you will work closely with the Project Manager and Operations Manager to ensure smooth administrative operations and accurate financial processing. This role is essential to offload key tasks from the leadership team and help maintain the high standards and efficiency we are known for. You’ll be the go-to person for billing, invoicing, vendor coordination, and basic accounting support, contributing directly to the heart of our ambulance service operations.


Key Responsibilities

I. Accounts & Billing Support

Assist the Project Manager with accurate data entry for payroll processing.

Record and reconcile company expenses; support monthly account reviews.

Generate and issue client invoices on time and with accuracy.

Track outstanding payments and assist with accounts receivable follow-ups.

Process payments for vendor invoices and company expenditures, ensuring supporting documentation is in place.

II. Administrative & Coordination Support

Maintain filing systems, manage office supply inventories, and handle general administrative duties.

Coordinate ambulance fleet maintenance with mechanics, garages, and vendors to minimize vehicle downtime.

Handle repairs and servicing of stretchers and critical medical equipment.

Assist in compiling reports, internal documentation, and operational logs.

Manage general correspondence and support ad-hoc needs from the management team.


Qualifications

Diploma or Degree in Business Administration, Accounting, Finance, or related field.

At least 2–3 years of experience in admin or accounts roles, preferably in fast-paced environments.

Proficient in Microsoft Excel and accounting software (e.g., Xero, QuickBooks).

Highly organized, reliable, and able to handle multiple tasks with minimal supervision.

Strong attention to detail and high level of accuracy.

Excellent communication and coordination skills.

Prior experience in the healthcare or ambulance industry is an advantage, but not required.
