We are growing — and looking for a dependable, highly independent and detail-oriented Administrative Executive to support our day-to-day operations.


What You’ll Do

As an Administrative Executive in our SME environment, you’ll wear many hats and play a key role in keeping operations running smoothly:

Order & Sales Admin

  • Process customer orders, delivery notes, and invoices
  • Coordinate with sales and warehouse to ensure on-time order fulfilment
  • Maintain accurate records of customer orders and deliveries

Procurement & Vendor Support

  • Prepare Purchase Orders (POs) and liaise with suppliers
  • Track PO deliveries, lead times, and shipment schedules
  • Request quotations and assist with vendor communications

Logistics & Inventory Coordination

  • Arrange local and international shipments
  • Ensure smooth inbound/outbound logistics with proper documentation
  • Work closely with the warehouse team on stock tracking

Employee Claims & General Office Admin

  • Process staff expense claims and maintain petty cash records
  • Assist in office supply procurement and admin logistics
  • Support HR and operations team with general administrative duties

Reporting & File Management

  • Keep internal trackers updated
  • File POs, invoices, and delivery documents systematically
  • Generate simple reports for order tracking or claims summary

What You’ll Need

  • Min. 2 years’ experience in admin, operations, logistics, or procurement
  • Strong proficiency in Microsoft Excel, Word, and Outlook
  • Excellent communication skills in English (Chinese is a plus)
  • Proactive, organized, and able to manage multiple tasks independently
  • Comfortable working in a hands-on approach environment

Bonus If You Have

  • Industry experience in electronics, distribution, or industrial supply
  • Familiarity with tools such as ERP, CRM, Quickbook, etc.
