Job Overview
The HR Executive will focus on managing payroll for up to 50 employees, handling work pass (WP) applications and renewals, coordinating worker training applications and renewals, and calculating project labor costs. The role requires proficiency in the Infotech HR system, along with strong analytical and organizational skills to support project cost tracking and HR operations effectively.
Key Responsibilities
1. Payroll Management
- Prepare and process mid-month and end-of-month payroll for up to 50 employees using the Infotech HR system.
- Verify working hours, overtime, and deductions to ensure payroll accuracy in compliance with company policies.
- Respond promptly to payroll-related queries and resolve discrepancies.
- Must meet deadlines for payroll processing on date 5th & 24theach month.
2. Work Pass (WP) Applications and Renewals
- Handle all administrative tasks related to work pass applications, renewals, and cancellations, eg. Purchase security bond, arrange medical checkup and so on.
- Utilize the Infotech HR system to maintain accurate records of work pass statuses and ensure timely renewals.
- Stay updated on MOM requirements and regulatory changes.
3. Worker Training Applications and Renewals
- Coordinate training program applications and renewals for workers, including CoreTrade, CSOC or other skill-based courses.
- Monitor training schedules and ensure workers attend mandatory training requirement and sessions.
- Maintain updated records of workers’ certifications and training status.
4. Project Labor Cost Calculation
- Track and calculate project labor costs, including regular hours, overtime, and any other applicable expenses.
- Prepare detailed labor cost reports for ongoing and completed projects to assist in profitability analysis.
- Collaborate with production managers to ensure accurate allocation of labor costs to specific projects.
- Must meet deadlines for labor cost reporting on date 7th each month.
5. Compliance and Reporting
- Ensure adherence to company policies and legal requirements in all HR-related activities.
- Prepare regular reports on payroll, work pass, and training activities for management review.
- Keep management informed about cost trends and compliance issues.
6. General HR Support
- Support onboarding for new workers, including documentation and orientation
- Support the HR team with other administrative tasks as needed, eg. Order stationery, restock pantry Drinks. Assist in administrative HR tasks and act as a liaison for worker-related concerns or queries
Requirements
- Diploma/Degree in Human Resources, Business Administration, or a related field.
- At least 1-2 years of experience in payroll and HR operations.
- Experience with Infotech HR system is an added advantage.
- Proficiency in Microsoft Excel for cost calculations and reporting.
- Strong knowledge of MOM regulations and payroll practices in Singapore.
- Excellent analytical, organizational, and multitasking skills.
- Strong interpersonal and communication skills.
