Overview:
This position is primarily responsible for providing secretarial support to the middle school office. It is also expected that the Administrative Associate will assist teachers, students, and staff members in matters related to other job functions of the middle school division office as necessary and as workload permits.

- Support CWW Leaders with Logistics, Bookings, Bussing, Visas, Insurance, Communication
- Manage the [email protected] email
- Support Eagle Day(s) with Logistics Bookings, Bussing, etc
- Support Class Field Trips - Logistics Bookings, Bussing, etc
- Liaise with Travel Agent to arrange flights for out of country school trips
- Coordinate Facilities Booking across the MS for Events, Concerts, Field Day, Etc
- Coordinate with Theater Coordinator for MS Bookings/Events Support
- Communicate with and support PTA MS Rep requests
- Manage Yondr logistics, locks, & communication with IA’s
- Coordinate PTA International Fair Winners (Eddie Popcorn Drop Off, Lunch with Principals, Free Dress Day, Etc)
- Edit and maintain Middle School Program Guide
- Work with Principals to schedule interviews, references for candidates for open positions
- Support the use of Veracross for Parent Email Communication
- Maintain and Update Student and Faculty Handbooks
- Support the MS Office on special projects
- Cover Receptionist Lunch/Absence in both Counseling and MS Offices as needed
- Update Veracross with disciplinary log entries for students and follow up on lunch detentions and suspensions as needed.
- Maintain strict confidentiality of all personnel matters and school records
- Get students from class as requested
- Liaise with the facilities department on needs relating to ongoing repair/renovation projects, emergent needs, room setup, etc.
- Liaise with custodians and security guards on maintenance and security matters
- Ensure compliance with all school’s policies and procedures as related to the job responsibilities of this position
- Relate courteously and effectively with students, parents, school personnel, government personnel, and community members as necessary
- Perform other duties and functions as assigned by the MS Principals
- Diploma from a recognised polytechnic in Singapore (or equivalent)
- Experience with budgets/budgeting.
- Excellent organizational and office management skills.
- Demonstrates competence in google suite of tools, including word processing, spreadsheet, calendars, as well as graphic design, and scheduling, with an interest in and ability to
- learn new applications.
- Excellent interpersonal skills and ability to handle multiple responsibilities and priorities concurrently.
- Good English communication skills, both written and oral.
- Positive work attitude and initiative.
- Ability to work cooperatively and provide assistance as necessary to other team members.
