Job Responsibilities
The Procurement Executive’s role involves strategic sourcing, supplier evaluation, and developing vendor relationships. The Procurement Executive manages purchase orders, coordinates inventory updates, maintains records, and builds strong relationships with suppliers and cross-functional teams
Meantime as a shipping executive, he/she is responsible for coordinating and managing all export and import shipments, ensuring compliance with international regulations, and efficient handling of shipments, including preparing necessary shipping documents, and maintaining effective communication with all relevant parties.
- Source, evaluate, negotiate and purchase goods for direct and indirect materials according to project requirements (RFQ/BOM)
- Participate in strategic sourcing initiatives. Research, evaluate potential suppliers and develop newly qualified vendors to maintain a strong and healthy supply base.
- Keep abreast of the market/price situation and conduct a regular price comparison.
- Generate purchase order and forward to the respective suppliers; facilitate the fulfilment process at all stages from material requisition (MR) till purchase order (PO) closed in the system.
- Coordinate and assist the store to keep inventory record updated timely
- Updating and maintaining records of all orders, payments, and receiving the stock.
- Liaise and build a good rapport with suppliers and cross-functional team members (relationship management).
- Identify, evaluate and recommend potential shipping agents based on reputation, reliability, and cost-effectiveness.
- Coordinate with shippers, forwarders, agents and the internal departments to notify and manage shipping schedules
- Ensure all import and export documents (e.g., Bill of Lading, Air Way Bill, Commercial Invoice, Packing List) are accurate and complete.
- Continuously monitor shipment status at critical milestones and provide regular updates to relevant parties.
- Manage timely payment of duties, taxes or other charges to avoid delays in customs clearance.
- Ensure clear and consistent communication with shippers, forwarders, and internal parties, addressing any issues promptly including any discrepancies or damages identified
- Update ERP systems and maintain accurate records of all shipping documents.
Requirements
- Bachelor's degree or minimum Diploma in Business studies major Purchasing Management / Supply Chain Management etc.
- Possess at least 2 years’ related experience in shipping, logistics, and supply chain management. It is a plus to have experience in construction industry
- Strong understanding of import and export procedures, documentation requirements, and customs regulations.
- Detail-oriented with strong organizational and problem-solving skills
- Knowledge of ERP system (SAP/ Synergix Taskhub) experience but not a MUST.
- Proficient in Microsoft applications, especially excel.
