Clinic Executive - new clinic

As a new clinic, we are looking for a Clinic Executive to be a vital part of our team. As a new startup, we are a lean operation with one doctor and one executive. This is an exciting venture but flexibility and a willingness to undertake a range of responsibilities assigned by the doctor from time to time will be critical to our success. This role is perfect for someone with prior experience or a highly motivated individual with the right aptitude and attitude to learn and grow with us.
Your Role
This is a comprehensive role covering various aspects of clinic operations. Your responsibilities will include:
- Front of House : Registering patients, handling patient queries via emails and calls, managing bookings, follow up and reminders, dealing with patient feedback and ensuring a smooth patient experience.
- Assist Doctor : taking vitals, assist with consultation and chaperone duties
- Doctor's Case Logs: Managing and maintaining accurate records of the doctor's cases.
- Coordinate with Hospitals, Other Clinics: Liaise with hospitals for patient admissions and scheduling of operations and coordinating with other doctors/clinics/labs re. referrals
- Billing & Invoicing: Preparing and following up on bills and invoices with patients, insurers, hospitals and processing billing/submissions through MediSave and insurers.
- Medical device/medical supplies/inventory Procurement/Management: Managing and maintaining all clinic inventory, including liaising with pharma and device companies and third parties re medical devices, medication and medical supplies.
- Medical Records: Maintaining accurate, up-to-date and compliant medical records, notes, databases and documentation.
- Accounting and Financial Records and Company Records : Maintaining accurate financials and liaising with accountant and company secretary on relevant information and filings
- Regulatory & Compliance: Assisting with clinic management and license applications/renewals and working with the PDPA officer on data management and compliance.
- Clinic Administration, Management & Maintenance: Overseeing the day-to-day running of the clinic, general maintenance, clinic supplies inventory and cleaning of the clinic premises.
- Ad-hoc Tasks: Handling various ad-hoc tasks related to clinic operations and doctor's requirements from time to time.
Who We're Looking For
We are seeking a proactive and organized individual who can manage multiple tasks efficiently.
- Skills: You should be computer-savvy, have excellent organizational skills, be keen to learn and able to multitask in a fast-paced environment. Experience with the Plato clinic system and TPA will be an advantage.
- Experience: Prior relevant experience in a clinic setting will be highly advantageous but not essential.
- Aptitude & Attitude: Even without direct experience, a strong aptitude for learning and a positive, can-do attitude are crucial.
- Language Skills: Relevant language skills to effectively communicate with a diverse patient base will also be an advantage.
- Nurses Welcome: We especially encourage nurses with experience who are willing to retrain for clinic management and operations. There may be future opportunities for training to assist in the operating theatre and help with wound care. Singaporeans/PRs only
Clinic Details & Remuneration
- Centrally located clinic
- Hours: 5.5 days/week
- Weekdays: 8:30 AM – 5:30 PM
- Saturdays: 8:30 AM – 1:00 PM
- Flexibility to support outside of formal hours will be advantageous.
- Remuneration will vary depending on your experience and qualifications.
- S$2,500 - S$3,500 with 13th month AWS
