Job Duties & Responsibilities

  • Coordinates and supports the daily operations and activities of a leadership team of a business unit and/or function.
  • Provides administrative support for executives, including, but not limited to managing schedules and calendars and arranging travel.
  • Aid executives in preparing for meetings.
  • Responding to emails and document requests on behalf of executives
  • Draft slides, meeting notes, and documents for executives
  • Coordinates meetings, training sessions, and other activities, including scheduling locations, securing refreshments, scheduling and confirming participants, and ensuring supply availability.
  • Completes multiple project-related tasks simultaneously and with minimal supervision, with a focus on completing projects effectively and in a timely manner.
  • Develops communication plans, assists and/or writes communications and distributes accordingly as needed.
  • Coordinates the filing, logging and/or organization of business documents, such as contracts and other such agreements.
  • Assists with documenting and developing operational and departmental related policies, procedures and best practices
  • Maintains office supply and equipment inventory, including ordering, handling returns/exchanges, and payments with vendors and coordinating the delivery, return, and maintenance of equipment.
  • Greets and sets up workspaces for visitors, interfacing with partners to ensure proper access and equipment are assigned.
  • Participates in special projects and performs other duties as assigned.

Work Experience Requirements

  • Minimum of 1 year relevant experience
  • Skilled in communicating effectively verbally and in writing.
  • Ability to establish and maintain effective working relationships.
  • Ability to learn new computer systems and software packages with ease.
  • Ability to maintain high degree of confidentiality and handle highly sensitive information.
  • Ability to prioritize, organize and perform multiple work assignments simultaneously while meeting assigned deadlines.
  • Intermediate proficiency with Google Suite and Microsoft Office Suite
  • Completion of a diploma level qualification with subsequent relevant experience; or an equivalent combination of relevant experience and/or education/training.
  • Proficiency in English
