Key Responsibilities:
Email & Calendar Management
Email & Calendar Management
- Oversee the HOD's calendar with accuracy, coordinating meetings, appointments, and travel logistics to ensure effective use of time and alignment with priorities
- Monitor, prioritize, and manage incoming emails; draft responses or delegate as necessary to ensure timely and appropriate communication
- Handle phone inquiries and correspondence, ensuring urgent or high-priority matters are addressed promptly
- Maintain organized and up-to-date records using digital tools, managing both electronic and physical files with precision
- Act as the central communication point for internal teams and external partners, responding to queries and directing requests to appropriate parties
- Ensure seamless communication between management and departments to support alignment on goals and initiatives
- Handle sensitive business, financial, and personnel information with discretion and confidentiality
- Provide timely updates to the HOD on urgent matters, prioritizing critical issues and ensuring necessary follow-ups are completed
- Organize and circulate meeting agendas, presentations, and relevant materials in advance to support informed decision-making
- Attend meetings to take thorough minutes, summarize discussions, and track follow-up actions to completion
- Keep both electronic and physical filing systems well-structured, updated, and easy to navigate
- Draft, edit, and refine reports, presentations, and correspondence to uphold high standards of accuracy and professionalism
- Assist the HOD in tracking key project timelines, deliverables, and milestones to ensure objectives are met
- Collaborate with various departments to gather information, compile updates, and support the advancement of ongoing initiatives
Job Requirements:
- Financial background
- Diploma in Accounting preferred
- Strong command of English and Mandarin
- Self-driven and adaptable
- Proficient in both written and spoken English and Chinese
- Strong organisational and multitasking skills
- Excellent knowledge of Microsoft (i.e. Outlook, Word, Excel, Powerpoint)
