Job Description
The Assistant Finance Manager is a key member of the Finance Team supporting temple and non-temple accounting functions. The person in this role will be responsible for financial accounting, administering and tracking investment, managing trust accounts, procurement processes, and compliance-related duties. The role requires strong attention to detail, initiative, and the ability to manage multiple workstreams.
Key Responsibilities
1. Financial Accounting and Reporting
- Assist in preparing and maintaining financial records, including Balance Sheets, Income Statements, and General Ledger entries.
- Ensure compliance with accounting standards and assist with tax-related matters.
- Manage day-to-day Accounts Payable and Accounts Receivable transactions.
- Perform monthly bank reconciliations and support month-end closing and variance analysis.
- Support the preparation of monthly and annual financial statements and ad-hoc financial reports.
2. Investment and Asset Management (Gold, Bonds, Equities, T-bills, Fixed Deposits)
- Acquire or divest investments in consultation with HEB’s investment committee.
- Maintain accurate records of HEB’s investment portfolio, including tracking of dividends and coupons, and reporting on performance.
- Support monthly investment reporting and follow-up on fixed deposit renewals.
- Maintain accurate records of fixed assets, including depreciation and disposals.
- Conduct periodic stock-takes and maintain records of gold and jewellery assets.
- Support in budget development and monthly cash flow tracking.
3. Banking Operations
- Faciliatte account opening/closing, changes to signatories, and documentation.
- Ensure timely execution of payments, deposits, and inter-bank transfers.
- Maintain accurate and up-to-date bank records for all HEB units.
- Prepare supporting documents for board resolutions and perform reconciliation checks.
- Resolve discrepancies and follow up on outstanding items.
4. Trust Account Operations
- Administer four trust accounts.
- Prepare monthly financial reports (P&L, Balance Sheet, reconciliations).
- Ensure proper governance standards and accurate recordkeeping.
5. Procurement and Contract Administration
- Support procurement processes including vendor coordination, purchase orders, and contract documentation.
- Ensure that procurement records are properly maintained and compliant.
6. Governance and Compliance
- Support internal and external audits by preparing schedules and documentation.
- Assist in ensuring compliance with relevant accounting standards and regulatory requirements.
- Maintain oversight of donation records and ensure appropriate financial governance.
7. Administrative Support
- Coordinate finance-related meetings (e.g. Audit Committee, TAC), including minute-taking and follow-up.
- Provide administrative and reporting support to the Finance Manager and Head of Finance.
8. Participation in HEB Corporate and Temple Activities
- Assist with finance-related matters during HEB and temple events.
- Support temple finance functions as assigned.
9. Corporate Insurance (Excluding HR-Related Insurance)
- Administer policy renewals, claims processing, and insurance record maintenance.
- Support annual risk assessment exercises.
10. Other Duties
- Undertake any ad-hoc assignments as directed by the Finance Manager, Head of Finance, or CEO.
Qualifications and Experience
- Bachelor’s degree in Finance, Accounting, or related field.
- Minimum 3 years of relevant finance or accounting experience.
- Knowledge of investment instruments and fixed asset management.
- Familiar with procurement processes and financial audit support.
- Good understanding of Financial Reporting Standards; familiarity with charity financial regulations is a plus.
- Strong proficiency in Microsoft Excel and financial software systems.
- Meticulous, analytical, and able to handle multiple priorities effectively.
- Strong communication and interpersonal skills.
- Able to converse in Tamil with the admin staffs and be willing to do work related site visits in the 4 temples managed by the Hindu Endowments Board.
