Role Overview
The Sales Admin plays a vital role in ensuring the smooth operation of the Sales Department by handling all administrative and support tasks related to the sales process. This role focuses on maintaining accurate documentation, ensuring effective communication with both customers and internal teams, and assisting the sales team in meeting deadlines while delivering excellent customer service. The Sales Admin acts as a bridge between the sales, technical and logistics teams to facilitate the timely and efficient execution of projects.

This role focuses on maintaining accurate documentation, ensuring effective communication with both customers and internal teams, and assisting the sales team in meeting deadlines while delivering excellent customer service. The Sales Admin acts as a bridge between the sales, technical and logistics teams to facilitate the timely and efficient execution of projects.
Key Responsibilities
- Sales Administration & Documentation
- Prepare and process sales quotations, invoices, delivery orders and related documents.
- Assist in compiling and submitting tender bids, quotations and project proposals.
- Maintain and update accurate sales records, customer databases and the CRM system.
- Track and organize incoming leads, customer enquiries and follow-ups for reporting purposes.
- Track sales performance against targets and flag irregularities or areas for improvement.
- Maintain up-to-date records of the sales pipeline, orders and contract statuses.
- Generate and prepare weekly/monthly sales reports, summaries and forecasts.
- Manage proper filing and organization of both hard copy and digital sales documents.
- Maintain and organize digital and physical filing systems related to sales documentation.
- Customer & Internal Communication
- Liaise with clients to confirm orders, delivery arrangements and service appointments.
- Support the sales team by coordinating with technical, logistics and project teams to ensure smooth project execution.
- Follow up on pending quotations, payments and required documentation with clients.
- Schedule appointments, prepare materials for meetings and coordinate follow-up actions.
- Sales Development & Customer Engagement
- Identify potential customers and develop tailored sales and marketing strategies to reach target markets.
- Conduct sales presentations, product demonstrations and persuasive pitches to prospective clients.
- Handle incoming sales enquiries via phone, email and other communication channels.
- Generate leads and follow up on enquiries; qualify prospects through outbound calls and email correspondence.
- Prepare and send accurate quotations to clients promptly.
- Minimum GCE ‘O’ Level or Diploma in Business Administration or related field.
- 2–3 years of experience in a sales coordination or admin role, preferably in a project or solutions-based environment.
- Proficient in MS Office (especially Excel and Word); experience with CRM or ERP systems is an advantage.
- Strong organizational and multitasking skills with attention to detail.
- Good communication skills and ability to work effectively with cross-functional teams.
- Proactive and responsible with a customer-service mindset.
- Able to work under tight deadlines and manage multiple priorities.
- Familiar with basic sales or procurement processes in project-based businesses (e.g., security systems, construction or engineering).
- Valid Class 3/3A driver’s license for site visits and travel.
