Job Description
- Support the RGM in planning, organizing and managing operational support functions
- Coordinate, consolidate management reports, ensuring accuracy and timely submission to relevant stakeholders
- Act as a liaison between the RGM and internal/external stakeholders to ensure timely communication and task completion
- Build good rapport and network with external stakeholders to identify opportunities for business collaborations, co-marketing and Personal relations leverage
- Manage end-to-end travel arrangements for RGM and other employees, including flight bookings, hotel reservations, transport coordination and expense management- demonstrating flexibility and problem-solving abilities to adjust or prioritize schedules based on last-minute changes
- Prepare and submit expense claims, travel claims, reports for your superior.
- Provide on-ground logistical support for visitors such as transport coordination, airport visitor pass application, etc.
- Ensure seamless operations of RGM’s office by providing support to business units on operational needs
- Perform General Office administrative duties include attending walk-ins, courier arrangement, management of stationery and pantry supplies, maintenance of office equipment, telephone system and cleanliness of the office.
- Purchase and allocate supplies and equipment with careful budget planning, maintain a clear inventory
- Oversee the maintenance and repair of office facilities to ensure they remain safe, secure and well maintained
- Initiate and implement process/ productivity enhancements where possible
- Lead and coordinate general and administrative tasks Undertake any additional responsibilities or projects as assigned
Job Requirements
- Diploma in Business Administration, Management, or related field
- Minimum 2-3 years of relevant experience in supporting senior management, administrative operations, or office coordination
- Exposure to regional coordination will be an added advantage
- Good organizational and multitasking abilities with strong attention to detail
- High level of discretion in managing sensitive and confidential information
- Strong interpersonal and communication skills with a high degree of professionalism
- Proactive and able to work independently with minimal supervision
- Flexible and adaptable to changing needs and priorities
