Salary range: $6,000–$9,000 dependent on experience

Responsible to: Associate Director, Imperial Global Singapore

Line Management responsibility for: Imperial Global Singapore HQ team (administrative support and interns, up to 3 individuals).

Key Working Relationships (internal): Imperial Global Singapore: Academic Director, Finance and Business Manager, Principal Investigators, Deputy Programme Directors, Researchers, Interns, Imperial: Head of Strategic Projects IRO, International Relations Office, Communications, Advancement, HR, Student Recruitment, Procurement, Public Affairs Office, Presidents Office, Schools of Convergence Science, Departmental Operations Managers and their teams.

Key Working Relationships (external): Key staff at National Research Foundation (Singapore), Nanyang Technological University, National University of Singapore, A*STAR, Imperial alumni in Singapore, CREATE entities, British High Commission, key Singapore partners and suppliers of professional services.

Contract type: 24 months (with potential for extension dependent on funding).


Purpose of the Post

Imperial Global Singapore is Imperial’s formal legal entity in Singapore to undertake research and innovation projects in collaboration with universities, industry, government, and third-sector partners from across the Singapore ecosystem.

Hosted at the Singapore National Research Foundations Campus for Research Excellence and Technological Enterprise (CREATE) and located at the National University of Singapore UTown Campus, Imperial Global Singapore provides the physical and administrative infrastructure to extend Imperial’s research activities to Singapore and broader South East Asia. CREATE hosts interdisciplinary research centres from top global universities including other key strategic partners including Cambridge, CNRS, MIT, and TU Munich.

The HR and Operations Manager will play a critical role in the strategic and day-to-day management of Imperial Global Singapore, with responsibility for leading human resources, overseeing operational services, and coordinating high-impact events that support Imperial’s international objectives.

Working closely with the Associate Director and Academic Director, the post-holder will manage recruitment, staff development and appraisals, compliance and office administration. They will also support the development of Imperial Global Singapore as a regional hub for research and innovation by facilitating effective partnerships and representing Imperial in engagements with alumni, industry, government, and academic stakeholders. The role includes planning and delivering academic and stakeholder events, and supporting visiting delegations to Imperial Global Singapore. The HR and Operations Manager will also be responsible for line management of HQ administrative support including their recruitment, appraisal, and development.

The position is based full-time in Singapore, at the offices of Imperial Global Singapore.


Key Responsibilities

Human Resources Leadership

  • Lead and manage all HR processes for Imperial Global Singapore, including recruitment, onboarding, contract administration, payroll and staff reviews.
  • Develop and implement local staff policies and procedures aligned with Imperial standards, including those related to diversity, performance, development, and wellbeing.
  • Oversee salary reviews, probation, personal development plans, appraisals, and other performance-related exercises.
  • Manage monthly payroll execution with the Associate Director and Finance and Business Manager.
  • Serve as the first point of contact for HR matters, providing guidance on employee relations, wellbeing, and professional development.
  • Coordinate immigration compliance, job evaluations, and data management, ensuring compliance with employment regulations and data protection laws.
  • Act as the local Data Protection Coordinator and ensure accurate maintenance and confidentiality of staff records.

Operations and Office Management

  • Ensure the effective day-to-day running of the Singapore office, including oversight of facilities, procurement, equipment, IT coordination, and Health & Safety.
  • Manage local financial and administrative operations related to staffing, office expenditure, and reporting requirements.
  • Support internal governance processes and audit requirements reporting for IGS grants, Imperial and relevant authorities.
  • Coordinate logistics for local staff, researchers, and visiting personnel, including access, support services, and operational onboarding.
  • Act as the main point of contact for building services and IT support within the Singapore office.

Event and Visit Management

  • Plan and deliver a wide range of academic, professional, and stakeholder-focused events including symposia, alumni receptions, partnership showcases, conferences and high-level visits.
  • Manage all event logistics such as scheduling, venue booking, catering, travel arrangements, materials preparation, and guest liaison.
  • Collaborate with internal teams (e.g. International Relations Office, Advancement, Communications) and external vendors to ensure professional, high-quality event execution.
  • Oversee arrangements for visiting delegations from Imperial and maintain a calendar of key events to promote Imperial’s presence in the region.

Strategic Support and Project Delivery

  • Work with the Associate Director on planning, coordination, and execution of strategic and cross-functional projects across HR, operations, and engagement.
  • Provide support to the Associate Director and deputise as required, including representing Imperial Global Singapore in internal and external meetings, overseeing operational decisions, and ensuring business continuity during periods of absence.
  • Provide project support for Research Programmes including but not limited to support for Steering Committees, Scientific Advisory Boards, progress reports, budget management and forecasting.
  • Collect and analyse HR and operational data to support workforce planning, performance evaluation, and process improvements.
  • Contribute to the continuous development of systems, policies, and practices that enhance Imperial Global Singapore’s effectiveness and integration with the wider Imperial network.
  • Other duties as may be required for the operation of Imperial Global Singapore.

Experience/Education

Educated to degree level or equivalent experience in Human Resources, Business Administration, or a related field. (E)

Experience

  • Significant experience managing HR functions independently, including recruitment, employee relations, staff development, performance management, and compliance. (E)
  • Familiarity with Singaporean employment regulations, data protection laws, and immigration requirements. (E)
  • Demonstrable experience in operational management including finance administration, facilities, procurement, and office systems. (E)
  • Experience in organising and delivering professional events, including high-level stakeholder visits, academic conferences, or external engagement activities. (E)
  • Experience working within a higher education or research organisation. (D)
  • Experience working within an international organisation. (D)
  • Experience managing cross-functional teams and/or line managing staff, including their development and appraisal. (E)
