We are looking for a dependable and proactive Operations & Admin Executive to handle delivery planning, invoicing, payment tracking, and office coordination. This role is suited for someone who enjoys organized, independent work with structured responsibilities.
What You’ll Do
Plan and Prepare Deliveries
Structured, Stable Work – SOPs and documentation in place to guide you
Ownership & Independence – Take full charge of your workflow and priorities
Supportive Onboarding – Training, templates, and guidance provided in the first 1–2 months
Focused Work Environment – Quiet, office-based setting with minimal distractions
Who We're Looking For
1–2 years' experience in office admin, billing/accounts, or logistics support
Proficient in Microsoft Excel, Outlook, and basic document handling
Reliable, detail-oriented, and able to manage daily work independently
Able to communicate in both English and Mandarin (spoken & written)

What You’ll Do
Plan and Prepare Deliveries
- Prepare Delivery Notes (DN) daily based on Sales Order confirmations
- Check stock availability and completion of manufacturing orders
- Order stock from supplier if there is a shortfall of goods
- Apply minimum order policy and arrange delivery via courier or forwarder
- Pack goods and prepare export documentation for courier dispatch to overseas customers
- Generate customer invoices and monthly Statements of Accounts (SOA)
- Track accounts receivable and follow up with customers on outstanding payments
- Liaise with Production and Sales departments to track and clarify order statuses
- Answer phone calls, attend to visitors, restock office/pantry supplies
- Maintain proper documentation and filing of records
