Job Scope & Responsibilities

Inventory & Stock Management

  • Maintain and manage inventory for multiple brands , ensuring accurate stock levels for both raw materials and retail-ready products .
  • Perform regular stock-taking and reconciliation to tally raw and retail stock counts against recorded data in the CRM system and Google Drive.
  • Ensure proper batch control, labeling, and storage conditions are adhered to, for both physical storage and e-commerce stockholding.
  • Manage and monitor the label inventory for all e-commerce product lines; anticipate and request restocks before depletion occurs.
  • Pack and prepare raw materials into finished goods for retail sale, ensuring proper packaging, labeling, and presentation standards are met.

Procurement & Supply Coordination

  • Liaise with suppliers for procurement of packaging materials , tracking delivery timelines and ensuring availability of materials required for retail and online orders.
  • Source and propose alternative packaging materials or solutions as requested by the office team, ensuring cost-efficiency and brand consistency.
  • Maintain and restock office, retail, and outlet supply inventories , including essentials such as stationeries, forms, and basic consumables.
  • Coordinate and oversee the packing and distribution of supplies to various outlet locations.

E-Commerce Fulfillment & Logistics

  • Verify and process incoming e-commerce orders , ensuring order accuracy and fulfillment according to SOP and agreed timelines.
  • Create invoices for each order, adhering to e-commerce process SOPs and internal documentation guidelines.
  • Pick, pack, and label e-commerce orders for shipping, ensuring correct product variants, quantities, and packaging.
  • Book and track couriers or delivery services for timely dispatch of all online orders; monitor shipping status and address any logistics issues.
  • Ensure all retail customer orders are fulfilled in a timely, organized, and professional manner.

Product Quality & Organization

  • Ensure each product—across all managed brands—is clearly categorized, labeled, and organized in storage and working areas.
  • Conduct regular quality checks on product condition, packaging, and expiry dates; report any concerns or anomalies promptly.
  • Maintain a clean and orderly workspace , ensuring product handling meets hygiene and safety standards.

Cross-Functional Support & Office Coordination

  • Assist the marketing team with product logistics for campaign needs, influencer kits, retail collaborations, and event support (e.g. packing, delivery, stock management).
  • Support the lead generation team by coordinating follow-ups, sending samples or kits, and updating lead communications when needed.
  • Perform daily administrative duties to ensure smooth office operations, including handling correspondence (emails, packages, calls) and filing.
  • Provide project support for marketing initiatives, product launches, promotions, and logistics-related campaigns.
  • Collaborate with teammates to ensure coverage and support during high-volume periods or tight deadlines.
  • Undertake other operational or administrative tasks assigned by management as and when required.

Skills & Experience Required

  • Proficient in Microsoft Word, Excel , and Google Workspace (Sheets, Drive).
  • Familiarity with e-commerce platforms and logistics booking portals preferred.
  • Highly organized, detail-oriented , and capable of managing multiple tasks and priorities.
  • A positive working attitude with a team-player mindset and willingness to assist wherever needed.
  • Previous experience in inventory, logistics, or e-commerce operations will be an advantage.
  • Email marketing or CRM software experience is a bonus
