Job Description

TITLE: Facilities Supervisor
REPORTS TO: Facilities Manager

JOB GOAL: To support the daily operations, maintenance, cleanliness, safety, security, and booking coordination of the school’s facilities, ensuring a safe, clean, functional, and orderly environment for students, staff, visitors, and renters.

PERFORMANCE RESPONSIBILITIES:

  • Conduct routine inspections of the school premises to identify maintenance needs and general repair issues during shifts.

  • Coordinate repair and maintenance work with the internal maintenance team and report unresolved issues to the Facilities Manager.

  • Perform regular safety inspections of facilities and take immediate corrective action where possible; report concerns to theFacilities Manager.

  • Respond promptly to alarms, incidents, emergencies, or urgent facilities-related concerns, and prepare reports as required.

  • Assist in maintaining the security and safety of the campus during assigned shifts.

  • Monitor the premises for suspicious activity, unauthorized access, or security breaches involving visitors, renters, students, or staff.

  • Enforce access control procedures to ensure that only authorized individuals enter restricted or designated areas.

  • Collect signed waivers from renters before they enter the school premises and ensure that all facility usage requirements are met.

  • Conduct regular patrols of the campus and buildings to deter unauthorized activity.

  • Manage facility bookings through JotForm and Google Calendar, including receiving booking requests, updating schedules, and assisting with renters’ payment processing.

  • Support the preparation, monitoring, and closing of school facilities used for events, rentals, and other approved activities.

  • Assist with gate coverage, including front gate and back gate duties, when required for school operations, release times, or events.

  • Escort personnel, visitors, students, or service providers when necessary.

  • Ensure that facilities used during the day or evening are properly monitored, secured, and left in good condition.

  • Prepare end-of-shift reports, incident reports, and other documentation as required by the Facilities Manager.

  • Maintain clean and orderly work areas.

  • Assist in special event coordination, setup, and supervision as needed.

  • Carry out other duties and special projects as assigned by the Facilities Manager

  • Maintain punctual attendance and demonstrate professionalism in all assigned responsibilities.

  • Maintain a high standard of conduct and behavior that is sensitive to children.

  • Display a positive attitude toward colleagues, parents, students, visitors, and renters.

  • Ad hoc tasks assigned by the supervisor

REQUIRED KNOWLEDGE:

  • Basic knowledge of facilities maintenance, safety procedures, and housekeeping standards.

  • Understanding of building operations, routine inspections, and reporting procedures.

  • Knowledge of workplace safety practices, emergency response procedures, and access control principles.

  • Familiarity with scheduling tools such as Google Calendar and online forms such as JotForm.

  • Basic understanding of vendor coordination, incident reporting, and customer service.

  • Ability to observe, identify, and report maintenance, safety, and security concerns promptly.

QUALIFICATIONS/SKILLS:

  • Basic facilities maintenance and housekeeping skills.

  • Good observation and reporting skills.

  • Ability to monitor premises and respond appropriately to safety or security concerns.

  • Good time management, coordination, and organizational skills.

  • Ability to use Google Calendar, JotForm, email, and other basic digital tools.

  • Proficiency in spoken and written English.

  • Able to work varied hours, including weekends and evenings, when required.

  • Physically able to conduct patrols, inspections, and light facilities support duties.
