Work Order & Request Management

  • Process maintenance requests and create work orders with accurate specifications and priority levels.
  • Track work orders from initiation to completion and follow up to ensure timely resolution.
  • Coordinate scheduling between technicians, contractors, and building occupants.

Vendor & Contractor Management

  • Schedule preventive and corrective maintenance with approved vendors.
  • Obtain competitive quotes for repair and maintenance projects.
  • Process contractor access requests, including security clearances and permits.
  • Maintain contractor databases and ensure current documentation including insurance certificates, licenses, and safety certifications.

Documentation & Records Management

  • Maintain asset and equipment tracking systems with maintenance histories.
  • Organize building files including floor plans, equipment manuals, and maintenance logs.
  • Manage inspection reports, compliance records, and service contracts to meet audit and regulatory standards.

Communications & Stakeholder Relations

  • Serve as primary contact for facility-related inquiries from vendors, and client.
  • Respond to emails, phone calls, and in-person requests.
  • Notify clients of scheduled maintenance and coordinate communication between clients.

Meeting Support

  • Schedule meetings, site inspections, and walkthroughs.
  • Prepare agendas, take minutes, and track action items.

Financial Administration

  • Process invoices and match to work orders and purchase orders.
  • Track budgets, monitor expenditures, and consolidate monthly expenses.
  • Maintain expenditure records and prepare documentation for budget reviews.
