About us

RushOwl is a shared mobility company operating in Singapore, Hong Kong, and Brunei. We are growing quickly and looking for an Executive Assistant to support the founders and manage the day-to-day operations of the Founders' Office.

The Role

You will support the founders with administrative duties, set up and maintain workflows across our offices, ensure timely reporting from the team, and assist with engagement with investors, government partners, and other key stakeholders.

What you'll do

  • Administrative support
  • Manage calendars, meetings, and travel arrangements for our team members across Singapore, Hong Kong, and Brunei.
  • Prepare proposals, briefing notes, and review documentations
  • Organise and maintain documents, contracts, and records.
  • Workflow and team coordination
  • Set up and maintain workflows and task management systems across global offices.
  • Monitor KPIs, reports, and deliverables from team leads, and follow up on outstanding items.
  • Support communication between the founders and the wider team.
  • Stakeholder liaison
  • Coordinate meetings and correspondence with investors, government officials, partners, lawyers, and corporate secretaries.
  • Prepare the founders ahead of stakeholder meetings.
  • Handle communications professionally and with discretion.

What we're looking for

  • Strong organisational skills and attention to detail.
  • Confident communicating with senior stakeholders.
  • Strong written English; Mandarin is an advantage.
  • Trustworthy with confidential information.
  • Proficient in Google Workspace, Microsoft Office; comfortable using AI tools.
  • Fresh graduates are welcome to apply
