Executive Assistant to the General Manager

Key Responsibilities
Manage the Executive’s calendar, appointments, meetings, and travel arrangements, ensuring alignment with project timelines and regulatory deadlines.
Screen and prioritize incoming calls, emails, and correspondence, including sensitive communications with government agencies (MOM, BCA, IRAS).
Draft, review, and edit high-level business correspondence, contracts, tender documents, and board papers with accuracy and confidentiality.
Coordinate cross-departmental reporting, compiling financial, HR, and project data into consolidated management packs for executive decision-making.
Attend executive and board meetings, prepare detailed minutes, and track follow-up actions across multiple stakeholders to ensure compliance and timely execution.
Support strategic initiatives such as project bids, worker placement compliance, and overseas expansion by conducting research and preparing analytical reports.
Organize executive-level events, industry forums, and stakeholder engagements, managing logistics and liaising with external partners, regulators, and clients.
Oversee expense claims, project-related financial tracking, and reconciliation of executive budgets.
Maintain strict confidentiality in handling sensitive information such as worker contracts, payroll compliance, and regulatory submissions.
Supervise document management processes, including tender submissions, MOM filings, and project compliance records.
Assist in drafting responses and policy communications for CEO’s review, ensuring alignment with corporate governance standards.
Perform advanced administrative duties, including vendor coordination, procurement support, and monitoring of project documentation systems.
Undertake ad-hoc responsibilities assigned by the Executive, including crisis management support and urgent regulatory filings.
