Role Overview
As the Facilities Coordinator (Finance & Operations), you will play a pivotal role in balancing financial meticulousness with day-to-day facilities excellence. You will be responsible for managing site finances, purchase orders, and budget tracking, alongside driving key operational and sustainability initiatives. Your mission is to ensure the team seamlessly meets both JLL’s and the client’s deliverables on time, maintaining the highest KPI and quality standards.
This is a dynamic role that requires a high degree of dependability, flexibility, and a proactive mindset. Because facilities operations are fluid, this position extends beyond a standard 9-to-5 routine; it requires exceptional time management to meet strict financial deadlines and operational needs.
Key Responsibilities1. Financial Administration & BudgetingEnd-to-End Procurement Lifecycle: Raise Purchase Orders (POs) and route copies efficiently to vendors and the JLL and client systems.
Goods Receipt (GR) Management: Prepare and submit accurate JLL Goods Receipts in a timely manner.
Invoice & AP Coordination: Check, verify, and route vendor invoices to the JLL Accounts Payable (AP) team, ensuring flawless processing ahead of strict monthly cut-off dates.
Financial Reporting & Tracking: Review funding reports, accurately log service periods, and continuously track, review, and validate all POs, GRs, and invoices.
Account Reconciliation: Proactively resolve outstanding vendor invoices, requesting and reviewing Statements of Account (SOA) as necessary.
Budgeting Support: Partner with leadership to assist in the preparation and forecasting of the yearly financial budget.
Ad-Hoc Support: Provide administrative support for miscellaneous financial and procurement tasks as required.
2. Day-to-Day Operations & Workplace ExperienceSustainability Co-Champion: Drive on-site sustainability initiatives, aligning workplace practices with JLL and client green goals.
Office Decor & Environment: Lead the setup, coordination, and execution of seasonal and office decor projects to maintain a vibrant workplace experience.
Procurement Support: Assist with the sourcing and procurement of vendors, services, and supplies as operational needs arise.
Stationery Management: Oversee inventory and optimize pricing structures for all office stationery and supplies.
Cross-Functional Backup: Act as a reliable backup for other facilities team members to ensure uninterrupted site operations during leave or peak periods.
