Recruitment Administration and P-filing
- Create, name, and file all temp P-file documents per naming convention
- Review and verify that all recruitment documents are completed
- Update tracking files to track foreign-trained specialists and agency hires upon receipt of new candidates
- Maintain running list of documents tracker for all specialist hires
Liaison with New Hires
- Schedule pre-employment medical check-ups and review medical reports to confirm fitness for work and vaccination completion
- Send Welcome emails to all new hires on Day 1
- Prepare join dates of specialist hires per month and embed necessary attachments into excel for team’s monthly discussion
Calendar & Meeting Management
- Booking of meeting rooms via Outlook/resource booking portal
- Sending of calendar invites and reminders
Department Projects & Logistics (e.g. MMO Engagement, TPM)
- Create EDMs for events and provide periodic attendance updates
- Track RSVPs and maintain attendance tracker
- Arrange beverages and food logistics for events
- Support overall event timeline management
General
- Perform any ad-hoc duties assigned by supervisor and/or team
- Min Diploma holder in Business related.
- At least 1 year of relevant experience.
- Able to manage high-volume activities and handle data confidentiality.
- Able to work under tight timeline and respond to changing priorities.
