HR Admin Assistant

> Min requirement = relevant certifications from ITE / Polytechnics

> Proficiency in Microsoft office application like word, excel, & outlook

> some working experiences in civil engineering and construction sector

> good organisation and communication skill

> Positive and willing to learn



1. General Administration

  • Management (Screening) of incoming calls – calls to GM & Directors to be screened
  • Arrangement of courier service for all Departments administrative documents;
  • Filing/scanning & copying of work (where requires)
  • Inventory Management – Pantry and Office stationaries
  • Maintaining / replenish of First Aid Kit;
  • Updating and maintaining of telecommunication system – speed dial list / intercom list
  • Maintaining corporate list of Motor Vehicle –
  • Co-ordination with custodians for vehicle inspection (if any)
  • Ensure proper insurance coverage
  • Ensure VPC for big vehicle are properly renewed
  • Support in application of RU plates / road tax waiver application

2. Time Management & Attendance System

  • Maintaining Biometric Machine Records; - Monitoring workers home leave/home leave entitlement/no pay leave status & leave application in InfoTech HRM system
  • Daily monitoring of attendance records
  • Keeping track of employee’s attendance/absenteeism/working hours/overtime

3. SB Learning Centre & External Training

  • Provide general administrative assistance on Training Plan/Registration and monitoring of worker’s mandatory courses expiry date.
  • Support department heads on staff training needs and arrange necessary courses when required.

4. Human Resource Administration

  • Preparation of Birthday Vouchers for all staff
  • support HR Executive where assigned

5. Ad Hoc

  • Assist in organizing company functions and events
  • Verifying of HR Admin related invoices, raising of material requisition form (MRF)
  • Ad-hoc projects/task assigned.
