What you will be doing

  • Perform accurate and timely data entry of new hires, employee movements, and employment changes into the HR System (Prosoft).
  • Prepare and issue Letters of Appointment, RRA contracts, confirmation letters, transfer letters, and other HR-related documentation.
  • Maintain accurate, complete, and up-to-date employee records in the HRIS and personnel files.
  • Ensure the confidentiality, security, and integrity of employee information at all times.
  • Administer leave management and other HR operational processes to ensure smooth day-to-day HR functions.
  • Coordinate training schedules and maintain training records to support workforce development initiatives. (eg , Basic Food Hygiene Course, First Aid)
  • Process employee and worker training applications and submit claims for relevant training grants.
  • Ensure compliance with regulatory requirements and maintain proper documentation for all work pass matters.
  • Manage work pass applications, renewals, and cancellations, including S Pass and other relevant work passes.
  • Prepare, execute, and consolidate performance appraisal data and documentation.
  • Assist in planning and organizing employee engagement activities, corporate events, and internal communications initiatives, including Staff Appreciation Night, Annual General Meetings (AGM), and Corporate Social Responsibility (CSR) activities.
  • Update and maintain organizational charts, job descriptions, and other HR reference materials.
  • Provide general HR and administrative support, including management of staff uniforms, access cards, name tags, time attendance systems, and office filing systems.
  • Coordinate office administration matters such as mail handling, franking services, photocopier maintenance, toner management, water dispenser maintenance, and document storage.
  • Manage administrative requisitions, including office stationery, pantry supplies, newspapers, and document management services.
  • Maintain proper administrative records and ensure efficient office operations.
  • Coordinate and manage the end-to-end administration of government grants and funding applications.
  • Ensure compliance with grant requirements, documentation standards, and reporting obligations.
  • Undertake any other HR and administrative duties assigned by Management from time to time.

What we are looking for:

  • Diploma in Human Resource Management, Business Administration, or related field
  • Prior experience in HR administration, onboarding, or HRIS data management is an advantage.
  • Conversant in Singapore employment laws and HR practices.
  • Strong attention to detail with excellent organizational skills.
  • Proficient in MS Office and familiar with HRIS systems.
  • Ability to work independently, manage deadlines, and maintain accuracy
  • Minimum 2 years of field-related experience
  • Available immediately preferred
