Tenant Coordination Executive (Retail Mall)

About The Role
Reports to the Centre Manager and ensure the efficient and smooth operation of all matters relating to operation of units, fitting-out liaison, maintenance and ad-hoc projects management of the mall.
What You’ll Do
* To conduct, arrange and coordinate with the tenants/ occupiers and the facilities team for handover and takeover tenant unit, including fitting out and reinstatement briefing.
* To carry out feasibility study on possible subdivision/amalgamation of tenant unit/s including provision requirements of incoming tenant/s.
* Liaise with tenants and their contractor/consultant/designer for the reinstatement / renovation works to ensure compliance to relevant authorities and all statutory requirements.
* Work with the facilities team to review design, fitting out submission by tenants/ occupiers.
* Constantly carry out checks on tenants’ reinstatement / renovation works to ensure due performance by tenants of the fitting out and design guidelines.
* To ensure tenants submit all pre-renovation documents and submission of approvals/consents/permits from relevant authorities post-renovation.
* To clear the fit out and design deposits.
* Creating and maintaining good rapport with tenants/occupiers and manage the tenant- landlord relationship including emergencies.
* Manage and attend to all complaints, needs, feedbacks and service requests from tenants/occupiers in a timely manner.
* Obtain budgetary quotes for repair works, subdivision/amalgamation, work specifications, invitation for quotations, recommendations of award, supervision of completed works.
* Assist in the implementation of the Asset Enhancement Initiatives, renovation works carried out by tenants and operational support for the promotional activities of the mall
* Regular check to ensure tenants or occupiers do not cause obstruction, interference or damage to the Landlord or MCST premises.
* Work with the facilities team as and when necessary.
* Any other duties assigned from time to time by your Superiors.
WHAT YOU WILL NEED
* Diploma / degree in building, facilities management or any relevant discipline with minimum 2 to 3 years’ experience in similar capacity.
* Strong leadership qualities and ability to work with client and tenant
* Good analytical skills to assess situation and determine the best course of action
* Dynamic, self-motivated individual
* Possess excellent interpersonal and communication skills
* Ability to work independently and resourceful
* Possess knowledge on sustainability and green mark and/or experience in green mark renewal for commercial buildings would be an advantage
