Admin and Operations Assistant
Buddhist Compassion Relief Tzu-Chi Foundation (Singapore)
We are looking for a proactive and organised Admin and Operations Assistant to support the smooth day-to-day running of our Dialysis Centre. You will work closely with multidisciplinary teams—including Nursing, Medical, Social Services, Volunteers, and HQ functions—to ensure efficient operations while maintaining compliance with healthcare standards.
Key Responsibilities
Facilities& Operations Management
- Support daily operations, logistics, maintenance, safety, and security within the Dialysis Centre
- Ensure the centre’s infrastructure is well-maintained and compliant with safety standards
- Coordinate with HQ Facilities Management and service providers to resolve facility-related issues
- Oversee vendor-led services including cleaning, pest control, waste collection, and biohazard disposal
- Arrange repairs and servicing of equipment to ensure optimal performance and minimal downtime
- Be on-call during the centre’s operating hours when required
Procurement& Inventory
- Manage procurement of consumables, equipment, assets, and stationery
- Source and evaluate quotations and ensure timely delivery of goods
- Collaborate with nursing staff and vendors to support uninterrupted patient care
Vendor Management
- Build and maintain strong relationships with vendors
- Support vendor sourcing, evaluation, and annual performance reviews
- Monitor vendor performance and ensure compliance with agreements
Volunteer Coordination
- Support and coordinate volunteer engagement for smooth daily operations
- Serve as the main point of contact for volunteers
- Manage scheduling, communication, and enquiries in a professional manner
Requirements
- Diploma or Degree in Business Administration, Healthcare Management, or related discipline
- 2–3 years of experience in administration, operations, or healthcare support
- Strong organisational and multitasking skills
- Good communication and interpersonal abilities
- Able to work independently and in a team
- Proficient in Microsoft Office
