About the role

Kaliber is looking for a Finance Executive to support and strengthen the company's finance function. This is a finance-first role. Your primary responsibility is to ensure that Kaliber's accounting, invoicing, payments, payroll coordination, statutory submissions, financial records, and compliance processes are accurate, timely, and well-managed.

Alongside finance, you will support selected administrative work — government grant applications, document coordination, vendor administration, and light office management. You should be comfortable handling detailed financial work while also being practical and hands-on enough to support the admin needs of a growing company.

You will work closely with business leaders, external accountants, tax agents, auditors, payroll partners, and overseas employment representatives to keep our finance and administrative operations running smoothly. Strong ethics, integrity, accountability, and attention to detail are non-negotiable — we are looking for someone organised, dependable, and proactive who brings structure to recurring processes.

What you'll own

Finance & accounting

(65%)

  • Manage day-to-day accounting in Xero — accurate records of transactions, accounts, assets, and bank activity.
  • Handle full-set or partial-set accounting for assigned entities — accounts payable, accounts receivable, bank reconciliations, and month-end schedules.
  • Prepare and issue client invoices accurately and on time; monitor outstanding payments and support client collection follow-ups.
  • Liaise with vendors, clients, and internal teams on billing, payment, and finance queries.
  • Support payroll coordination, working with internal and external representatives for local and overseas team members.
  • Assist with monthly, quarterly, and annual finance submissions — GST, ECI, corporate tax, and other statutory reporting.
  • Coordinate with tax agents, auditors, accountants, payroll providers, and other external finance partners.
  • Prepare and organise financial documentation for audits, tax filings, grant claims, and management review.
  • Maintain accounting controls, documentation standards, and finance processes; support cash flow tracking, expense monitoring, and basic financial reporting.
  • Keep finance records complete, organised, and accessible when required.

Grants & finance administration

(10%)

  • Assist with government grant applications, claims, submissions, and follow-up documentation.
  • Coordinate supporting documents — quotations, invoices, contracts, payment proofs, company information, and project documentation.
  • Track grant timelines, claim deadlines, approval statuses, and submission requirements.
  • Liaise with government agencies, grant consultants, vendors, and internal stakeholders where required.
  • Maintain organised records of grant correspondence, approvals, claims, and compliance documents — accurate, complete, and aligned with finance records.

Administrative & office support

(15%)

  • Support administrative tasks connected to company operations, vendor coordination, internal documentation, and compliance records.
  • Assist with light office management — supplies, equipment, mail, courier arrangements, workspace coordination, and vendor follow-ups.
  • Support onboarding and offboarding administration, particularly finance-related setup, documentation, and access coordination.
  • Maintain internal trackers, templates, filing systems, and checklists to improve organisation.
  • Support ad hoc administrative tasks without losing focus on the core finance responsibilities of the role.

Management reporting & business support

(10%)

  • Prepare basic financial summaries, reports, and management updates.
  • Support budgeting, forecasting, and financial planning exercises.
  • Help business leaders understand key financial information through clear, organised reporting.
  • Identify opportunities to improve finance, grant, and administrative workflows.
  • Support ad hoc finance and operational projects as the business grows.

Who you are

Must-haves

  • Over 3 years of relevant experience in accounting, finance operations, or administrative finance.
  • Diploma or Bachelor's degree in Accounting, Finance, Business Administration, or a related field.
  • Hands-on accounting experience, ideally with Xero, and confident handling full-set or partial-set books.
  • Working knowledge of Singapore accounting principles, GST, CPF, IRAS requirements, and statutory filings.
  • Singapore Citizen or PR — this role handles local statutory finance and works with Singapore-based entities.
  • Strong ethics, integrity, accountability, and attention to detail — non-negotiable.

Technical skills

  • Hands-on with Xero for day-to-day accounting and reconciliation.
  • Comfortable using Google Sheets and/or Microsoft Excel for tracking, reporting, and reconciliation.
  • Comfortable across Google Workspace — Gmail, Drive, Docs, and Sheets.
  • Able to maintain organised records, folders, trackers, and documentation.
  • Familiarity with payroll, GST filing, accounting documentation, and grant claim processes.
  • Confident with digital tools and willing to learn new systems.

Nice-to-haves

  • Prior experience with government grant applications, grant claims, or administrative submissions.
  • Experience in an agency, media, startup, consulting, or professional services environment.
  • CA, CPA, ACCA, or an equivalent qualification (advantageous, not mandatory).
