HR Admin and Compliance Manager

We are looking for an experienced HR Admin and Compliance Manager to oversee all aspects of HR, administration and compliance matters. Reporting to the Head of Finance, this role will collaborate with various stakeholders and ensure smooth running of day-to-day HR Admin activities for our Singapore HQ office, and oversee all compliance matters across our offices. This role is very vital to Swan & Maclaren’s success and you’ll play a critical role to ensure a high performance and compliant culture where every employees' potential can be realised to the fullest to achieve our established mission and objectives. Responsibilities:- HR Functions (60%)
- Responsible for the full spectrum HR operations covering employee full life cycle, including recruitment, on-boarding, engagement, talent development, performance evaluation, and off-boarding in Singapore HQ office.
- Provide strategic consultation and coaching to business leaders on organizational issues and people matters.
- Collaborate cross functionally with various departments i.e IT, Finance to drive HR solutions and create a positive employee experience.
- Review HR policies and processes and ensure that they are aligned with Group/Company policies and comply with local legislation.
- Responsible for budgeting and manpower planning, including rightsizing the business unit, structuring compensation and benefit packages.
- Partner with business managers to source for talents and set KPIs for roles to meet business goals and needs.
- Oversee the administration of company's general insurance, employees’ insurance and benefits.
- Responsible for the payroll administration for Singapore HQ office.
- Maintain personnel files, people data and document management.
Responsibilities:- Compliance (30%)
- Maintain the Standard Operating Procedures (SOPs) for all key processes.
- Perform periodic audits of SOP compliance and reporting to management.
- Work with business units to rectify deficiencies from audits.
Office Admin Functions (10%)
- Support workplace health, safety and environment (HSE) compliance requirements to provide a conducive work environment.
- Review and manage contracts/service agreement for all office related services.
- Manage IT helpdesk support activities.
- Corp Pass sub-administrator for selected Singapore entities.
- Coordinate ad-hoc company functions, team building activities, annual gathering to encourage team bonding among colleagues.
- Provide admin and secretarial support to the Head of Finance, CEO, Board of Directors and Sub-Committees.
- Any reasonable ad-hoc requests.
Requirements:-
- Minimum diploma holder in related disciplines, with 6-8 years of relevant and hands-on HR and compliance experiences.
- Solid understanding of Singapore Employment Act, securing available government grants, general human resources policies and procedures and market trends.
- Experience in Corporate Governance and setting up SOPs.
- High energy with positive mind-set and a change agent through influencing.
- Meticulous, detailed-oriented and able to maintain confidentiality.
- Highly independent and resourceful.
- Good analytical, problem-solving skills and organisational skills, able to multitask.
- Strong verbal and written communication skills and interpersonal skills; ability to engage people from all levels and backgrounds.
- Proficient in MS Office and InfoTech HRMS software.
- This is a fully on-site role as daily interactions with stakeholders are highly essential.
