Senior Project Officer

Job Summary:
We are seeking a highly motivated and adaptable Project Officer for the AxCIS Lab, a project under the CREATE Thematic Programme in Decarbonisation. This role provides comprehensive administrative and operational support for the project, facilitating collaboration between key stakeholders based in the United States and in Singapore. Key responsibilities of the role include project reporting, event support, travel support for Principal Investigators (PIs), procurement and financial administration, as well as ad-hoc tasks based on evolving project needs.
Duties & Responsibilities:
* Project Reporting to Funding Agency: Compile technical and progress reports, as needed, by working with the PIs and the postdocs.
* Event & Meeting Support: Respond to requests from NRF for speakers, posters, and any requested information needed for events that CREATE might host to feature the AxCIS research.
* Support any technical meetings or symposia that AxCIS wants to hold.
* Travel & Logistical Support:
- Send the travel pre-authorization form to AxCIS travellers and work with BEARS Business Operations Manager to have the form approved by BEARS CEO.
- Find options for lodging for UC Berkeley PIs on visits to Singapore and, as needed, for Singapore PIs and staff who travel to the US.
- Arrange local transport as needed for meetings and visitors.
* Procurement & Financial Administration:
- Support the PIs and postdocs by researching possible vendors for purchasing items and assist in drafting statements of work or other justifications, and preparing draft purchase requests when applicable.
- If requested by the Procurement Officer, support background work on complex procurement request for AxCIS or raise simple purchase requests for small value purchases.
- If requested by the Finance Team, support the AxCIS fund drawdown requests by working with BEARS PIs and CEO.
* Ensure that the researchers have necessary supplies, ranging from standard office supplies to pantry supplies to incidental research supplies, and raise a purchase request as needed.
* Ad-hoc Operational Support: Perform ad-hoc operational and administrative tasks, as required, to support the evolving needs of the AxCIS project and its leadership (i.e. support on budget monitoring, grant variations, audits, data management, website administration, etc).
Qualifications:
* Bachelor Degree in Materials Engineering, Project Management, or another related field.
* Relevant experience in project coordination, executive administration, or research operations, preferably within an academic or research setting.
* Good communication and collaboration skills
* Adaptable and flexible.
