Job Summary

We are looking for a reliable Admin Executive to manage office operations, coordinate logistics documentation, and support sales and operations teams in a fast-paced wholesale environment. The ideal candidate will handle trade-related paperwork, basic inventory tracking, and general office management.

Responsibilities

  • File and organize documents to maintain accurate and accessible records for office operations
  • Enter data accurately into systems to support reporting and administrative workflows
  • Manage document flow including purchase orders, delivery orders, and invoices to ensure timely processing and compliance
  • Prepare routine reports, memos, and letters to communicate information clearly across departments
  • Support sales and operations teams with ad-hoc administrative tasks to facilitate smooth business functions
  • Coordinate with internal teams and external partners to ensure efficient handling of logistics documentation
  • Track basic inventory levels to assist in stock management and reporting
  • Use Microsoft Word and Excel, including basic formulas and pivot tables, to create and manage documents and reports
  • Manage email communications and cloud-based file sharing platforms (e.g., Google Drive, OneDrive) to maintain organized digital records
  • Work independently and collaboratively to meet deadlines and support team objectives
  • Maintain attention to detail in all tasks, especially in handling numbers and document accuracy

Required competencies and certifications

  • Minimum GCE ‘O’ Level or Diploma in Business Administration, Logistics, or related field
  • At least 1–2 years of administrative experience
  • Proficiency in Microsoft Office (Word, Excel including basic formulas and pivot tables)
  • Familiarity with email management and cloud-based file sharing (e.g., Google Drive, OneDrive)
  • Strong organizational and multitasking abilities demonstrated through managing multiple administrative tasks efficiently
  • Good written and verbal communication skills in English to support clear internal and external correspondence
  • Attention to detail to ensure accuracy in documents and reports
  • Ability to work independently and as part of a team to achieve operational goals

Preferred competencies and qualifications

  • Self-starter who can identify and suggest process improvements to enhance administrative efficiency
