Sales Co Ordinator/ Customer Services Executive

About the Role

Our client, a well-established trading company in the commodities sector, is seeking a Sales Coordinator to join their commercial team in Singapore.

This role plays a key part in ensuring smooth execution of end-to-end sales transactions — from contract creation through to shipment, billing, and final settlement. You will be the central coordination point between Sales, Finance, Logistics, Operations, and Customers, ensuring accuracy, efficiency, and timely execution of all commercial activities.

Key Responsibilities

Sales & Contract Administration

  • Prepare and issue sales offers, contracts, and commercial documentation
  • Maintain accurate records of contracts, amendments, pricing, and customer data
  • Track key contract including shipment schedules, pricing validity, and payment timelines
  • Ensure proper filing and maintenance of all commercial documentation
  • Support contract execution and coordination of approvals and amendments

Customer & Stakeholder Coordination

  • Act as first point of contact for routine customer enquiries
  • Coordinate meetings, customer visits, and commercial arrangements
  • Support onboarding and credit documentation processes
  • Liaise closely with internal teams (Sales, Finance, Logistics, Operations) to ensure smooth execution

Commercial Reporting & Data Management

  • Maintain accurate sales, shipment, stock, and revenue data
  • Prepare weekly and monthly sales and performance reports
  • Support forecasting, budgeting, and sales analysis
  • Ensure data accuracy across all commercial records and systems

Systems & Process Support

  • Update and maintain ERP and CRM systems (e.g. Oracle NetSuite or similar)
  • Ensure timely and accurate data entry across platforms
  • Support system improvements and process standardisation
  • Perform data validation and reporting checks

General Support

  • Assist with preparation of presentations, reports, and meeting materials
  • Coordinate internal documentation and record management
  • Support ad-hoc administrative and commercial tasks as required

Requirements

  • Diploma or Degree in Business, Commerce, Marketing, or related field
  • 2–5 years’ experience in sales coordination, import and export operations, logistics coordination, or similar roles
  • Experience in trading, commodities, shipping, logistics, or international trade is highly preferred
  • Strong proficiency in Microsoft Excel and Office applications
  • Experience with ERP systems (e.g. SAP, Oracle NetSuite, or similar) is an advantage
  • Strong attention to detail, organisation, and ability to manage multiple priorities
  • Good communication skills and ability to work across cultures and functions
  • Comfortable working in a fast-paced, deadline-driven environment
