Job Overview

Oversee full company secretarial portfolio for assigned clients, ensure full regulatory compliance under Companies Act and deliver standard-compliant secretarial services.

Key Responsibilities

  • Serve as main client contact, manage client relations, understand business needs and advise on corporate governance.

  • Prepare board resolutions, meeting minutes and all statutory secretarial documents.

  • Monitor statutory filing deadlines for ACRA submissions and guarantee accurate lodgement.

  • Arrange board & shareholder meetings; draft agenda, minutes and resolutions per legal requirements.

  • Maintain updated corporate statutory records and client document filing.

  • Provide ongoing compliance advisory and update clients on latest regulatory amendments.

  • Complete new client onboarding, KYC due diligence and timely preparation of share certificates & controller filings.

  • Resolve client issues and escalate complex cases to superior accordingly.

  • Assist internal process improvement and ad-hoc admin tasks as assigned.

Requirements

  • Min 1 year secretarial experience preferred;

  • Sound knowledge on Companies Act and corporate secretarial regulatory rules.

  • Meticulous, proactive, good communication, able to multi-task and meet tight deadlines under pressure.

  • Fluent spoken & written English; Mandarin is a bonus.

  • Proficient in MS Office, familiar with ACRA filing is advantageous.

  • Self-driven, strong accountability, good at independent & teamwork work.
