Accounts and Administration Assistant

Key Responsibilities

Fund Administration & Operations

  • Assist in the day-to-day administration of investment funds and related entities.

  • Maintain proper records, documentation, and filing of fund-related matters.

  • Support processing of capital calls, distributions, payments, and fund expenses.

  • Assist the team in liaising with banks, auditors, corporate secretaries, and external service providers.

Accounting & Reporting Support

  • Assist in monthly bookkeeping and accounting entries.

  • Support preparation of monthly bank reconciliations, payment processing, and expense tracking.

  • Assist in preparation of annual management reports and supporting schedules.

  • Support annual report preparation and submission to relevant authorities and service providers.

  • Help collate documentation and support communication with external auditors and accountants for year-end closing and audit matters.

  • Maintain precision in accounting and operational records, ensuring data integrity.

Investor & Administrative Support

  • Assist in preparation of investor notices and operational correspondence.

  • Support collection and maintenance of KYC/AML documentation.

  • Provide comprehensive administrative support to the finance team, including meeting scheduling, document filing, and general office operational tasks.

Compliance & Documentation

  • Ensure documents are properly organized and maintained.

  • Support internal compliance, audit, and regulatory documentation requirements.

  • Support the team in tracking operational timelines and documentation deadlines.

Operational Collaboration

  • Support the team on ad-hoc projects and contribute to continuous improvement of internal operational processes.

Qualifications

Education Background

  • Diploma or Bachelor’s Degree in Accounting, Finance, Business, or related disciplines.

  • Fresh graduates are welcome to apply.

Preferred Skills & Attributes

  • Basic accounting knowledge or bookkeeping background preferred.

  • Proficient in Microsoft Excel, Word, and PowerPoint.

  • Strong attention to detail and organizational skills.

  • Responsible, proactive, and willing to learn.

  • Good communication and interpersonal skills.

  • Able to work independently and manage multiple tasks.

Good to Have

  • Internship or prior exposure in accounting, audit, finance, or administrative functions.

  • Basic understanding of investment funds or finance operations would be advantageous.
