Job Summary
We are seeking a highly organized and proactive Coordinator to support daily office operations by managing schedules, coordinating meetings, maintaining records, handling correspondence, and providing comprehensive administrative support to staff and management.
Responsibilities
- Manage calendars, appointments, and meeting schedules to ensure efficient time allocation and avoid conflicts
- Respond promptly to phone calls, emails, and other communications to facilitate smooth office interactions
- Prepare, edit, and distribute documents, reports, and presentations to support internal and external communication
- Maintain organized filing systems and company records to ensure easy retrieval and compliance
- Coordinate meetings, travel arrangements, and events to support staff and management needs
- Order and manage office supplies to maintain adequate stock levels and control costs
- Assist with accurate data entry and database management to support information integrity
- Greet visitors professionally and provide customer service support to enhance visitor experience
- Collaborate with internal departments and external vendors to ensure seamless office operations
- Provide administrative assistance to managers and team members to support daily tasks and projects
- Maintain and improve office procedures and systems to increase operational efficiency
- Monitor office equipment functionality and coordinate maintenance to minimize downtime
- Organize and maintain both physical and electronic files to ensure data accuracy and accessibility
- Update databases and records accurately to reflect current information
- Prepare reports and presentations that support decision-making and communication
