Job Summary

We are seeking a highly organized and proactive Coordinator to support daily office operations by managing schedules, coordinating meetings, maintaining records, handling correspondence, and providing comprehensive administrative support to staff and management.

Responsibilities

  • Manage calendars, appointments, and meeting schedules to ensure efficient time allocation and avoid conflicts
  • Respond promptly to phone calls, emails, and other communications to facilitate smooth office interactions
  • Prepare, edit, and distribute documents, reports, and presentations to support internal and external communication
  • Maintain organized filing systems and company records to ensure easy retrieval and compliance
  • Coordinate meetings, travel arrangements, and events to support staff and management needs
  • Order and manage office supplies to maintain adequate stock levels and control costs
  • Assist with accurate data entry and database management to support information integrity
  • Greet visitors professionally and provide customer service support to enhance visitor experience
  • Collaborate with internal departments and external vendors to ensure seamless office operations
  • Provide administrative assistance to managers and team members to support daily tasks and projects
  • Maintain and improve office procedures and systems to increase operational efficiency
  • Monitor office equipment functionality and coordinate maintenance to minimize downtime
  • Organize and maintain both physical and electronic files to ensure data accuracy and accessibility
  • Update databases and records accurately to reflect current information
  • Prepare reports and presentations that support decision-making and communication
