Job Summary
We are seeking a highly organized and proactive Administrative Assistant to support daily office operations by managing schedules, coordinating meetings, maintaining records, handling correspondence, and providing administrative support to staff and management.
Responsibilities
- Manage calendars, appointments, and meeting schedules to ensure efficient time use and coordination
- Respond promptly to phone calls, emails, and other communications to facilitate smooth office operations
- Prepare, edit, and distribute documents, reports, and presentations to support internal and external communication
- Maintain organized filing systems and company records to ensure easy retrieval and compliance
- Coordinate meetings, travel arrangements, and events to support staff and management needs
- Order, monitor, and replenish office supplies to maintain uninterrupted office functionality
- Perform accurate data entry and update databases to support information management
- Greet visitors professionally and provide customer service support to create a welcoming environment
- Collaborate with internal departments and external vendors to facilitate operational tasks
- Assist managers and team members with various administrative tasks to enhance productivity
- Maintain office procedures and systems to ensure consistent and efficient workflows
- Monitor office equipment functionality and coordinate maintenance to minimize downtime
- Organize and maintain both physical and electronic files for accurate record-keeping
- Prepare reports and presentations to support decision-making and information sharing
